Role Overview: The Facilities Procurement Specialist is integral to overseeing the acquisition and management of essential inventory, including tools, parts, and equipment vital for operational efficiency. This role involves utilizing a Computerized Maintenance Management System (CMMS) for effective inventory oversight, conducting evaluations and repairs on equipment, and ensuring meticulous record-keeping. The ideal candidate will have relevant trade education or equivalent experience, strong communication abilities, and proficiency in Microsoft Office applications.

Key Responsibilities:
  • Oversee the procurement process for Maintenance, Repair, and Operations (MRO) spare parts through strategic sourcing initiatives.
  • Conduct thorough inventory management through manual counts, documentation, and the use of a CMMS (Maximo).
  • Receive, organize, and distribute spare parts required for MRO tasks.
  • Ensure timely arrival of parts, negotiate for competitive pricing, and foster strong partnerships with Facilities Maintenance and local suppliers.
  • Maintain accurate inventory records and update databases consistently.
  • Propose alternative solutions when standard items are unavailable.
  • Manage the return process for non-expendable items, ensuring proper follow-up on repairs and maintenance.
  • Prepare and share reports detailing the estimated arrival times for spare parts and current inventory levels for preventive and corrective maintenance activities.
  • Perform any additional duties as assigned.
Work Schedule: Monday to Friday, 8:00 AM to 4:30 PM.

Preferred Qualifications:
  • At least 2 years of experience in sourcing and purchasing spare parts, providing a solid foundation for the procurement buyer role.
  • Trade education or 2+ years of relevant experience in inventory management or a related field.
  • Proficient in utilizing a CMMS, especially Maximo.
  • Understanding of Just in Time (JIT) inventory management and sourcing strategies.
  • Experience in the biopharmaceutical or GMP (Good Manufacturing Practice) sectors, showcasing familiarity with industry-specific procurement needs and regulations.
Essential Skills:
  • Excellent verbal and written communication skills.
  • Ability to conduct manual inventory counts and maintain precise records.
  • Experience in building and maintaining relationships with Facilities Maintenance and local vendors.
  • Strong attention to detail and organizational skills for effective documentation.
  • Capability to assess and manage the return of non-expendable items, including coordinating repairs as necessary.
  • Proficient in generating reports on estimated part arrivals and tracking items within inventory systems.
  • Self-driven with the ability to work independently and collaboratively.
  • Familiarity with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Hands-on experience in tool maintenance, including cleaning and servicing tools upon their return.
  • Willingness to adapt and take on additional responsibilities as needed.
