About the Department

The City of Cambridge's License Commission is responsible for issuing licenses and permits, enforcing rules and regulations, and managing the Pole and Conduit Commission. The department's primary goal is to ensure public safety and well-being through effective governance and regulation.

Job Summary

The Executive Officer serves as the main administrative staff person for the License Commission and the Pole and Conduit Commission. This role requires strong organizational and communication skills, as well as the ability to work effectively with various stakeholders, including the public, city employees, and other departments.

Key Responsibilities
  • Interact daily with the public and other city employees and departments.
  • Assist with inquiries related to the License Commission's procedures and processes.
  • Communicate with hearing witnesses, licensees, and lawyers on behalf of the License Commission.
  • Process new and renewal applications, maintain files, and track fees and fines.
  • Enter data, retrieve data, and create reports from various databases.
  • Account for and maintain accurate records of all applications, permits, fines, and payments.
  • Act as Keeper of Records, maintaining all records of the department, board, and commission.
  • Attend, conduct, and assist at public hearings and meetings.
  • Supervise or set up hearings, publish notices, and conduct research.
  • Assist in drafting or preparing affidavits and court pleadings.
Requirements
  • Legal background or education, or at least 2 years of legal work experience.
  • Extensive knowledge of general office procedures and supervisory experience.
  • Excellent interpersonal skills, able to mediate and diffuse situations.
  • Ability to work individually or collaboratively with limited direct supervision.
  • Highly motivated, reliable, and positive attitude.
  • Ability to use necessary equipment, including data collection software.
  • Ability to do research and comprehend various codes, laws, rules, and regulations.
  • Quick learner, excellent organizational skills, and attention to detail.
Preferred Qualifications
  • JD degree.
  • Municipal licensing experience.
Work Environment

The Executive Officer will work in a standard office environment with fluorescent lighting, carpeted floors, and air-conditioning. The noise level inside the office is moderately loud, which can elevate with phone calls and walk-in members of the public. This position may be eligible for hybrid work under the City's new Telework Policy, depending on operational needs.
