PROJECT MANAGEMENT COORDINATOR

WEBCO HR, Inc. is in search of a Project Management Coordinator to join our team.

POSITION OVERVIEW:

The Project Management Coordinator will play a vital role in the meticulous organization of construction documentation. This position will provide essential administrative support to both the Project Manager and Operations Manager.

In this role, you will oversee multi-step orders within the new construction sector, ensuring that each phase from order entry to fulfillment is executed punctually. Responsibilities include coordinating and issuing submittal drawings, scheduling site visits, and collaborating with detailers, purchasing teams, and field representatives to drive project success. Excellent written and verbal communication skills are imperative, as the position requires regular interaction with clients to strengthen and enhance company relationships. The ideal candidate will possess strong organizational abilities, meticulous attention to detail, and the capacity to work effectively within cross-functional teams to ensure timely project completion. Experience in multi-story, multi-family construction projects is essential.

KEY RESPONSIBILITIES:

  • Plan, coordinate, and monitor project progress, proactively addressing any issues that arise.
  • Engage with clients to clarify project requirements, scope, and objectives, ensuring their needs are met throughout the project lifecycle.
  • Act as the primary liaison between subcontractors and general contractors, fostering clear and effective communication.
  • Prepare and maintain comprehensive project documentation, including plans, reports, and submittal drawings.
  • Organize site measurements and meetings with field personnel.
  • Collaborate with detailers and the purchasing department to ensure timely procurement of materials.
  • Utilize project management tools to monitor performance and guarantee timely completion of each project phase.
  • Provide administrative support and address client concerns, maintaining control of the order until it is handed off to fulfillment and billing.
  • Communicate effectively with clients to reinforce and enhance the company's relationships.
  • Manage project details, schedules, changes, and documentation, ensuring alignment with general contractors' expectations.
  • Support the Project Manager in the Order Management and Fulfillment departments to facilitate streamlined project execution.
  • Employ technologies such as MS Office Suite, Fishbowl Inventory, MS Teams, ZoHo CRM, and Bluebeam to manage and document project activities.
  • Maintain a strong emphasis on attention to detail and critical thinking in all communications and project documentation.
  • Establish and nurture professional relationships based on trust and reliability with general contractors.
  • Follow up on documents, drawings, change orders, and project correspondence, processing and storing digital and physical documents as needed.
  • Organize and file project documentation appropriately.
  • Perform additional tasks and projects as required.

QUALIFICATIONS:

  • A Bachelor of Science degree in Business Administration, Management, or a related field.
  • A minimum of 5 years of experience in project coordination or a similar role, specifically within new construction projects.
  • Experience in a comparable role within the subcontractor segment of the multi-family construction industry.
  • Demonstrated experience in multi-story, multi-family construction projects.
  • Exceptional verbal and written communication skills, with a proven ability to effectively liaise with customers and partners.
  • Strong organizational skills, attention to detail, and the ability to think critically under pressure.
  • Excellent multitasking abilities.
  • Strong interpersonal skills and a customer-focused mindset.
  • Flexibility to adapt to project demands.
  • Ability to thrive in a fast-paced, self-directed environment while prioritizing multiple high-priority projects to meet deadlines.

COMPENSATION:

$33.65 per hour
