The Project Management Coordinator will play a vital role in the meticulous organization of construction documentation. This position offers essential administrative support to both the Project Manager and Operations Manager.

In this role, you will oversee multi-step orders within the new construction sector, ensuring that each phase from order entry to fulfillment is executed punctually. Responsibilities include coordinating and distributing submittal drawings, arranging site visits, and collaborating with detailers, purchasing, and field representatives to guarantee project success. Excellent written and verbal communication skills are essential, as the position requires regular interaction with clients to strengthen and enhance company relationships. This role demands strong organizational abilities, meticulous attention to detail, and the capacity to work effectively with cross-functional teams to ensure timely project completion. Experience in multi-story, multi-family construction projects is necessary.

KEY RESPONSIBILITIES:

  • Plan, coordinate, and monitor project progress, proactively addressing issues as they arise.
  • Engage with clients to clarify project requirements, scope, and objectives, ensuring their needs are consistently met.
  • Act as the primary liaison between our client's subcontracting team and general contractors, fostering clear and effective communication.
  • Prepare and maintain comprehensive project documentation, including plans, reports, and submittal drawings.
  • Schedule site representatives for measurements and meetings with on-site personnel.
  • Collaborate with detailers and the purchasing department to ensure timely procurement of materials.
  • Utilize project management tools to monitor performance and ensure the timely completion of each project phase.
  • Provide administrative support and address client concerns, maintaining control of the order until it is handed off to fulfillment and billing.
  • Communicate effectively with clients to reinforce and enhance the company's relationships.
  • Manage project details, schedules, changes, and documentation, ensuring alignment with general contractors' expectations.
  • Support the Project Manager in contributing to the Order Management and Fulfillment departments' efforts for streamlined project execution.
  • Employ technologies such as MS Office Suite, Fishbowl Inventory, MS Teams, ZoHo CRM, and Bluebeam to manage and document project activities.
  • Highlight attention to detail and critical thinking in all communications and project documentation.
  • Establish and maintain professional relationships based on trust and reliability with general contractors.
  • Follow up on documents, drawings, change orders, and project correspondence, processing and storing digital and physical documents by project.
  • Organize and file project documentation as necessary.
  • Perform special tasks and projects as required.

QUALIFICATIONS:

  • A Bachelor of Science degree in Business Administration, Management, or a related field.
  • At least 5 years of experience in project coordination or a similar role, particularly in new construction projects.
  • Experience in a comparable role within the subcontractor segment of the multi-family construction industry.
  • Proven experience in multi-story, multi-family construction projects.
  • Exceptional verbal and written communication skills, with a history of effective client and partner liaison.
  • Strong organizational skills, attention to detail, and the ability to think critically under pressure.
  • Excellent multitasking abilities.
  • Strong interpersonal skills and a customer-focused approach.
  • Flexibility to adapt to project demands.
  • Ability to thrive in a fast-paced, self-directed environment and prioritize multiple high-priority projects to meet all deadlines.
