We are a leading medical management organization seeking an experienced Executive Medical Secretary/Assistant to join our team. As an Executive Medical Secretary/Assistant, you will be responsible for maintaining company schedules and coordinating calendars for multiple physicians, support staff, senior executives, and external partners.

You will also interact heavily with company clients, physicians, referral sources, support staff, and external partners in arranging and coordinating appointments logistics, meetings, and functions. This is an excellent opportunity to work in a fast-paced environment and make independent decisions regarding planning, organizing, and scheduling priorities.

Responsibilities:

  • Maintain company schedules and coordinate calendars for multiple physicians, support staff, senior executives, and external partners
  • Heavy interaction and communication with company clients, physicians, referral sources, support staff, and external partners in arranging and coordinating appointments logistics, meetings, and functions
  • Coordinating travel arrangements including working with vendors to create comprehensive itineraries that intertwine within each office location
  • Providing administrative leadership to an administrative team in complex situations with diligence and commitment to accuracy
  • Ensuring satisfaction in a client-driven, deadline-oriented environment while balancing different expectations and adapting to those expectations
  • Managing high-level client contact with judgment and diplomacy in different conflicting objectives, projects, and activities
  • Preparing reports, presentations, correspondence, agendas, and other documents to a high degree of accuracy and presentation
  • Make independent decisions regarding planning, organizing, and scheduling priorities
  • Function as a representative for key contacts and clients
  • Analyze incoming department assignments and assess for importance while creating a team plan of action each day
  • Attend meetings with clients' physicians, and external partners
  • Perform confidential administrative support, drafting letters, emails, and other correspondence. Manage administrative projects.

Requirements:

  • Excellent organizational skills; Ability to work with people one-on-one as well as a team setting; Strong communication skills, Strong analytical and logistics training and/or experience; Attention to detail and accuracy; Ability to work in a faced-paced environment; Ability to adapt and problem solve; Leadership skills; Professional customer service demeanor; Excellent verbal and written communication skills;
  • Bachelor's Degree Preferred or 3 years of relevant experience with the above
  • Must be proficient in Microsoft Office and Word
