Position Overview

Role Summary

Primary Responsibilities:

Under general supervision, this role encompasses a range of clerical tasks aimed at supporting departmental functions, including but not limited to:

  • Assisting in the upkeep of files, drawings, maps, control logs, manuals, specifications, reports, statistics, microforms, and other records, both historical and current, while maintaining various indices to ensure efficient service delivery in accordance with established procedures.
  • Executing manual or automated processing of various technical and non-technical documents, including correspondence, reports, form letters, indexes, procedures, specifications, and drawings.
  • Retrieving and providing access to drawings and records upon request. Managing the reproduction, control, distribution, filing, and acknowledgment of controlled records, documents, and procedures for both internal and external stakeholders.
  • Preparing documents for scanning and indexing, conducting quality control checks of microfilm and aperture cards in line with approved procedures and guidelines.
  • Operating, updating, and maintaining both active and inactive records and record systems (e.g., record file centers, micrographics, and databases).
  • Filing records in accordance with established protocols and supporting microfilm satellite libraries. Managing on-site and off-site vaults.
  • Utilizing various office equipment, including processing and reproduction equipment and scanners.
  • Generating various administrative reports and assisting in the management of equipment inventory, service agreements, office equipment, and supplies.
  • Coordinating the destruction of records, including shredding, as necessary.
  • Performing data entry using various computer applications (e.g., electronic records management systems, electronic document management systems, and other desktop applications such as Microsoft Office).
  • Participating in Emergency Preparedness Program (EPP) activities, including drills and events.
  • Providing instruction and training for other clerical staff within the department.
  • Carrying out other related tasks as required or assigned.

Qualifications and Skills:

  • High school diploma or equivalent is required.
  • Successful completion of clerical aptitude and qualifying assessments.
  • Minimum of one year of relevant work experience or equivalent.
  • Familiarity with office practices, standard office equipment, and filing systems is essential.
  • Effective communication skills and the ability to organize and prioritize tasks under general supervision.
  • Proficient in general computer and office skills, including data entry, spelling, and grammar.
  • Attention to detail and the ability to maintain a neat and orderly workspace.
  • Ability to uphold confidentiality in all aspects of work.
  • Physical capability to lift a full record box.

The starting pay rate for this position is $27.09/hour.
