Job Title: Temporary Administrative Assistant

We are seeking a highly skilled and organized Temporary Administrative Assistant to join our team at Vishay Intertechnology Inc. in San Jose, CA.

Job Summary:

The successful candidate will provide administrative support to our department managers and employees worldwide, ensuring seamless day-to-day operations. This role requires excellent communication, organizational, and multitasking skills, as well as the ability to work independently and prioritize tasks effectively.

Key Responsibilities:
  • Prepare and distribute monthly reports, ensuring accuracy and timeliness.
  • Provide administrative support in the main lobby, welcoming visitors and directing them to the correct contact.
  • Answer and transfer phone calls, taking messages and ensuring prompt follow-up.
  • Manage files, organize documents, and coordinate meetings, ensuring seamless communication and collaboration.
  • Develop and maintain key measurement charts and data, providing analytical support to the team.
  • Coordinate domestic and international travel arrangements, including booking flights, hotels, and rental cars.
  • Set up and arrange departmental lunches and dinners, ensuring a positive and productive work environment.
  • Process purchase requisitions and orders, ensuring timely and accurate fulfillment.
  • Receive and sort incoming mail and packages, delivering them to the correct recipient.
  • Prepare outgoing mail and packages, ensuring timely and accurate dispatch.
  • Support the administration of our Quality Management System (QMS) process, ensuring compliance and continuous improvement.
  • Collaborate with the Division QMS Head to develop and implement business process workflows, ensuring efficiency and effectiveness.
  • Maintain accurate and up-to-date record files and documentations, ensuring easy access and retrieval.
  • Organize and coordinate meetings, ensuring seamless communication and collaboration.
  • Support the Business Process Automation project, ensuring timely and accurate implementation.
  • Assist in the revision process of QMS documents, ensuring accuracy and compliance.
  • Support the preparation of San Jose's yearly DNV audit, ensuring timely and accurate completion.
  • Monitor the timely closure of SJ internal audit non-conformances, ensuring continuous improvement.
  • Support the Division Audit Management Improvement Project, ensuring timely and accurate completion.
Requirements:
  • Associate's degree or Bachelor's degree preferred, with 2-4 years of professional business office experience.
  • Excellent verbal and written communication skills, with the ability to work effectively with diverse stakeholders.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Intermediate to advanced knowledge of computer software applications, including Microsoft Office, Sharepoint, and Promis.
  • Ability to work with confidential documents and understand company procedures.
