Job Title: Transportation Administrative Specialist

Join the team at Santa Fe Public Schools as a Transportation Administrative Specialist. This role is responsible for providing administrative support to the Transportation Department, ensuring the smooth operation of transportation services for students and staff.

Key Responsibilities:
  • Assist in the coordination of transportation services, including scheduling and dispatching buses.
  • Process payroll data and maintain accurate records.
  • Establish and maintain FTE hours and layover time calculations for route sheets, drivers, and assistants.
  • Prepare and distribute reports, including statistical and narrative reports.
  • Sort, screen, and distribute incoming and outgoing mail, and compose responses to written inquiries.
  • Requisition supplies, printing, maintenance, parts, and other services.
  • Maintain accountability of all purchase orders and invoices.
  • Conduct weekly meetings with activity drivers and route drivers.
  • Research and compile data, and prepare special reports and summaries.
  • Perform a range of staff and operational support activities for the department.
Requirements:
  • High school diploma or equivalent.
  • Three years of secretarial/clerical experience in a multiple departmental company or organization with sufficient complexity.
  • Preferred: One or more years of experience in dispatching and/or transportation operations, Class B New Mexico CDL with P and S endorsements, and bilingual skills in English-Spanish.
Working Conditions:

The majority of work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Occasional work in and around buses and an automotive shop environment with equipment.

  • Demonstrate reliability as evidenced by attendance records and punctuality.
  • Properly notify supervisor and/or designee of absences or tardiness.
  • Begins and completes work within the allotted time.
  • Consistently appear in attire appropriate to the work environment.
