Position Overview: The Customer Service Representative will be instrumental in supporting the sales team through various essential functions, including the review and processing of customer purchase orders, data entry into our sales order system, and serving as the primary contact for customer order inquiries. This role provides a fantastic opportunity for individuals eager to develop their skills and grow within the sales administration field.

Key Responsibilities:
  • Accurately and efficiently process customer orders, ensuring all details are correctly entered into our system. Verify that purchase orders contain all necessary information, including product numbers, quantities, prices, and terms as per contractual agreements.
  • Coordinate purchase orders and product shipments within a multinational corporate structure.
  • Respond promptly to customer inquiries and resolve issues to their satisfaction, escalating complex matters to the appropriate department when necessary.
  • Maintain precise records of customer interactions, orders, and transactions.
  • Organize logistics for customer site visits and public relations events.
  • Collaborate with internal departments, including technical sales, production, logistics, R&D, quality, and accounting, to ensure timely and accurate delivery of products and services.
  • Assist with inventory management, including tracking stock levels at third-party warehouses.
  • Provide administrative support to customer-facing teams, including filing, data entry, SDS management, and other clerical tasks as assigned.
  • Ensure compliance with company policies and procedures throughout the sales order process.
  • Stay informed about product knowledge, company policies, and procedures to provide accurate information to customers.
  • Generate and analyze sales reports as required.
  • Assist in preparations for internal and external audits.
  • Identify opportunities for process enhancements in sales order and fulfillment operations.
  • Perform other duties as assigned.
Qualifications:
  • High School diploma required; an associate or bachelor's degree is preferred.
  • A minimum of 5 years of customer service experience is required, ideally in a multinational manufacturing or semiconductor context.
  • Proficient in MS Office (Excel, Word, Outlook) and various ERP systems; experience with SAP and Quickbooks is preferred.
  • At least 5 years of experience with CRM software.
  • Familiarity with standard sales order processing.
  • Strong problem-solving abilities.
  • Proactive and solution-oriented mindset.
  • Attention to detail with a commitment to quality and accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively.
  • Capability to build positive relationships with employees, business partners, and customers.
  • This position operates in a professional office environment, utilizing standard office equipment such as computers and phones. The role is primarily sedentary, requiring the ability to sit or stand for extended periods.
