Job Overview

POSITION SUMMARY:

The Accounts Receivable Specialist is responsible for managing the company's receivables and ensuring timely collection of outstanding accounts while fostering positive relationships with clients.

KEY RESPONSIBILITIES:

  • Engage with clients via phone to verify invoice receipt, confirm payment timelines, and investigate reasons for delayed payments. Document customer financial statuses and collection progress.
  • Handle cash receipt processing efficiently.
  • Maintain an up-to-date customer database.
  • Conduct credit assessments for prospective clients.
  • Ensure comprehensive and accurate tax exemption documentation is filed appropriately.
  • Review and validate Letters of Credit and manage associated payments.
  • Prepare and review sales tax returns for multiple jurisdictions.
  • Provide support for Accounts Payable tasks as required.
  • Collaborate with Human Resources on third-party insurance billing for staff.
  • Generate regular management reports detailing accounts receivable collections, aging analysis, and other relevant activities. Create additional reports as needed.
  • Assist during month-end, quarter-end, and annual financial closing processes.
  • Help compile and prepare financial summaries for management, audits, and external stakeholders.
  • Support various finance and administrative tasks as assigned.
  • Adhere to the established Safety & Health, Quality, and Environmental processes of Plasma-Therm, LLC.

SUPERVISORY ROLE:

  • No supervisory responsibilities.

QUALIFICATIONS:

  • High school diploma or equivalent; some college coursework preferred.
  • Three to five years of relevant experience, particularly in the Manufacturing or Construction sectors.

SKILLS AND COMPETENCIES:

  • Proficient in analyzing and reconciling detailed financial information.
  • Effective communication skills for interdepartmental and external interactions.
  • Familiarity with Windows XP and Microsoft Office Suite (Word, Excel).
  • Strong data entry and 10-key proficiency.

WORK ENVIRONMENT:

  • Typical office setting.
  • Regularly required to sit, stand, walk, and perform tasks that involve visual and auditory capabilities.
