Job Summary

Milwaukee School of Engineering (MSOE) is seeking a highly organized and detail-oriented Administrative Assistant to join our Career Connections Center team. As the first point of contact for the department, the successful candidate will provide exceptional customer service, manage day-to-day operations, and support the team in achieving its vision, mission, and goals.

Key Responsibilities
  • Administrative Support: Provide administrative assistance to the Career Connections Center team, including managing calendars, scheduling meetings, and coordinating events.
  • Office Operations: Oversee office operations, including accounts payable, inventory management, and ensuring smooth office operations.
  • Customer Service: Respond to and direct employer and student inquiries, provide assistance in all aspects of the Career Connections Center, and maintain a positive and professional demeanor.
  • Workflow Documentation: Create, update, and implement effective and timely workflow documentation for all programming and events.
  • Relationship Building: Develop and maintain relationships with other campus units, including catering, IT support, facilities, administration, and room reservation staff, to ensure seamless delivery of exceptional service to all stakeholders.
  • Event Planning: Assist with planning, organizing, and promoting employer on-campus recruiting efforts, including career fairs, information sessions, and on-campus interviews.
  • Database Management: Establish and maintain a detailed database of corporate contacts, company interview dates, recruiting activity, and schedules to share with the CCC team in real time.
  • Donations and Inventory: Manage donations, inventory, display, and student use of the Career Closet.
  • Student Support: Respond to general student inquiries and provide assistance in all aspects of the Career Connections Center operations in support of office and university strategic plans and goals.
Requirements
  • Education: High School Diploma or GED required; Associate's degree preferred.
  • Experience: Experience in directing day-to-day office and business operations.
  • Skills: Exceptional time, task, and resource management skills; ability to establish and maintain strong working relationships across multiple and diverse populations; exemplary customer service skills; intermediate to advanced skills in computer software, including Microsoft Office.
  • Physical Demands: Ability to move and traverse within the work area and other areas on campus; occasional carrying and/or lifting 20+ lbs. for event materials.
