This role involves direct collaboration with both the Senior Attorney and Junior Associate, focusing on a range of administrative responsibilities.
Key Responsibilities:
- Oversee daily office operations to ensure efficiency.
- Manage a high volume of incoming calls and provide a welcoming atmosphere for clients.
- Conduct client intake by collecting detailed information regarding potential cases and guiding them through the consultation process.
- Organize and distribute mail for the legal team.
- Direct communications to the appropriate individuals and ensure timely email responses, prioritizing tasks effectively.
- Prepare legal documents such as Notice of Motions, Order Forms, and draft Divorce Complaints and Summons.
- Handle e-filing of essential documents, including Notice of Appearances and Adjournment Requests.
- Manage the calendar, addressing scheduling conflicts and filing necessary adjournment requests through various e-filing systems.
- Coordinate court dates, consultations, and virtual meetings.
- Establish and maintain both electronic and physical filing systems.
- Track discovery materials for all client files, ensuring both media and printed items are organized.
- Provide comprehensive administrative support to enhance office productivity.
- Monitor office supplies to maintain adequate stock levels.
- Maintain accounts receivable for client payments.
- Perform standard office duties including filing, copying, scanning, and emailing.
- Demonstrate proficiency in Microsoft Office, Google Drive, Clio, Law Pay, and relevant e-filing systems.
