Position Overview

The Financial Operations Manager is integral to the operational and strategic initiatives of the institution, ensuring the fiscal stability and operational effectiveness of the school. This position requires close collaboration with the Finance & Operations Director to uphold sound accounting practices, maintain system integrity, and establish a robust internal control framework. The Financial Operations Manager will be responsible for compiling, analyzing, and generating financial reports for the Head of School, Leadership Team, and Board of Trustees, as well as developing and overseeing the annual budget, managing the financial aid process, and partnering with the HR Manager on payroll processing and the formulation of relevant financial and operational policies.

The ideal candidate will embody the values of Epiphany School and possess extensive knowledge and experience in finance and operations, including budget oversight, compliance with financial and employee regulations, risk management, grants and contracts administration, and accounting best practices. Strong communication and collaboration skills are essential, along with a commitment to equitable and ethical practices, the ability to transition from strategic to tactical thinking, and a passion for working in an educational environment with young learners. Experience in a school setting is advantageous but not mandatory.

Key Responsibilities

Financial Management:
  • Execute general accounting tasks, including journal entries, accounts payable, and processing payroll and tuition billing.
  • Monitor accounts receivable and engage with account holders regarding overdue payments.
  • Work alongside the Finance & Operations Director to ensure accurate accounting processes and systems.
  • Collaborate with the Finance & Operations Director and Head of School to develop financial policies and procedural documentation.
  • Maintain the integrity of the internal control framework by keeping orderly records of financial transactions in compliance with institutional policies and applicable regulations.
  • Compile, analyze, and prepare regular and ad hoc financial reports for various stakeholders.
  • Ensure confidentiality of financial data and information.
  • Develop and manage the annual budget in alignment with the institution's strategic objectives.
  • Oversee the financial aid process, ensuring fair and consistent application of policies.
  • Provide strategic financial insights to support leadership decision-making.
  • Assist in long-term financial planning and risk management.
  • Conduct financial analysis to inform strategic initiatives.
  • Lead month-end closing processes, including journal entries and reconciliations.
  • Ensure compliance with finance and payroll best practices.
Operational Oversight:
  • Process payroll and manage benefits deductions and retirement contributions.
  • Support payroll calculations for employee leaves of absence.
  • Document minutes for Finance Committee meetings.
  • Partner with HR to develop and implement finance-related policies.
  • Collaborate with Admissions on the enrollment process for new and returning students.
  • Manage the school's subscriptions and track contract renewals.
  • Analyze operational data for reporting to relevant agencies.

Qualifications:
  • Bachelor's degree in accounting, business administration, or a related field (CPA preferred).
  • 5+ years of financial management experience in a similar organization.
  • Knowledge of not-for-profit accounting principles.
  • Experience with fund accounting, accounts payable, and payroll administration.
  • Understanding of labor laws and HR management related to payroll.
  • Experience in processing financial aid awards.
  • Strong project management skills and ability to manage competing priorities.
  • Excellent communication skills, both written and verbal.
  • Proficiency in data analysis and relevant software.
  • Commitment to uphold and promote the school's values.
