The Financial Operations Manager is integral to both the operational and strategic aspects of the organization, ensuring the financial stability and operational effectiveness of the institution. This role requires close collaboration with the Finance & Operations Director to uphold strong accounting practices, maintain system integrity, and establish a robust internal control framework. The Financial Operations Manager will be responsible for compiling, analyzing, and preparing financial reports for the Head of School, Leadership Team, and Board of Trustees, as well as developing and monitoring the annual budget, overseeing the financial aid process, and partnering with the HR Manager to manage payroll and implement relevant financial and operational policies.
The ideal candidate will embody the values of Epiphany School and possess extensive knowledge and experience in finance and operations, including budget management, compliance with financial regulations, risk management, grants and contracts oversight, and accounting best practices. Strong communication and collaboration skills are essential, along with a commitment to equitable and ethical practices, the ability to shift between strategic and tactical thinking, and a passion for working in an educational environment with young learners. Previous experience in an educational setting is preferred but not mandatory.
Key Responsibilities
Financial Management:
- Conduct general accounting tasks, including journal entries, accounts payable, and processing payroll and tuition billing.
- Monitor accounts receivable and engage with account holders regarding outstanding balances.
- Work alongside the Finance & Operations Director to ensure accurate accounting processes and systems.
- Collaborate with the Finance & Operations Director and Head of School to develop financial policies and documentation.
- Maintain orderly records of financial transactions to ensure compliance with institutional policies and legal requirements.
- Compile and prepare regular and ad hoc financial reports for various stakeholders.
- Safeguard the confidentiality of financial data.
- Develop and oversee the annual budget aligned with the institution's strategic objectives.
- Manage the financial aid process, ensuring fair and consistent application of policies.
- Provide strategic financial insights to support leadership decision-making.
- Assist in long-term financial planning and risk management.
- Lead month-end closing activities, including journal entries and reconciliations.
- Ensure compliance with finance and payroll best practices.
- Process payroll biweekly and monthly, ensuring accuracy in benefits deductions and retirement contributions.
- Support payroll calculations for employee leaves of absence.
- Document minutes for Finance Committee meetings and other relevant gatherings.
- Collaborate with the HR Manager to establish finance and operations policies.
- Assist the Admissions Team with enrollment processes and tuition management.
- Manage subscriptions and contracts related to the institution's operations.
- Analyze operational data for reporting to various agencies.
- Bachelor's degree in accounting, business administration, or a related field (CPA designation preferred).
- At least 5 years of financial management experience in a similar organization.
- Familiarity with not-for-profit accounting principles.
- Experience with fund accounting, accounts payable, and payroll administration.
- Knowledge of labor laws and human resource management related to payroll.
- Experience in processing financial aid awards is a plus.
- Strong analytical skills and attention to detail.
- Excellent communication skills in English, both written and verbal.
- Proficient in project management and capable of handling multiple priorities.
- Ability to work collaboratively with diverse groups.
- Proficiency in data analysis and relevant software.
