Job Overview

This position is responsible for ensuring smooth office operations by handling communications, maintaining supplies, and providing exceptional service to patients. The individual will collaborate closely with clinical staff, acting as a vital link between patients and healthcare providers. Effective coordination of services between Whole Family Health Center Inc and external providers is essential.

Communication Skills: Strong verbal and written communication abilities are necessary for this role. The candidate must engage with patients, staff, and other stakeholders with professionalism and respect. Proficiency in Spanish, Creole, or both is advantageous.

Key Responsibilities:

  1. Exhibit professionalism and a positive attitude towards patients, visitors, and colleagues.
  2. Schedule necessary diagnostic tests and specialty appointments, documenting appropriately in patient records.
  3. Maintain accurate tracking and documentation of referrals to enhance team awareness and ensure patient safety.
  4. Ensure thorough registration processes, including collecting patient demographic and insurance information.
  5. Gather comprehensive information regarding patients' clinical histories and referral requirements, providing necessary clinical details to specialists as per referral protocols.
  6. Facilitate prior authorization for diagnostic and specialty services.
  7. Communicate with insurance providers to confirm prior approval criteria are satisfied, presenting essential medical information such as patient history and prognosis.
  8. Review referral details and expectations with patients to ensure clarity.
  9. Serve as the primary contact for patients and families, addressing inquiries and concerns directly. May advocate on behalf of patients with insurance carriers to secure timely approval for necessary services.
  10. Ensure timely processing of referrals.
  11. Notify patients of upcoming appointments via phone or mail.
  12. Follow up on referrals to confirm patients are attending scheduled appointments.
  13. Request and track medical records to ensure timely receipt.
  14. Keep patient charts updated with information on specialist consultations, hospital admissions, emergency visits, and community health resources.
  15. Document patient interactions and progress in the electronic health record system.
  16. Participate in relevant educational opportunities.
  17. Perform additional duties as assigned.
  18. May require occasional travel between locations for coverage.

Education & Training:

  1. High School diploma or GED is required; a college degree is preferred.
  2. Cross-training in electronic medical records, scheduling software, and Microsoft Outlook is necessary.

Experience:

  1. One to three years of relevant experience in a medical office environment.

Requirements:

  1. Level 2 background clearance is mandatory.
  2. All necessary vaccinations and a PPD test are required upon hiring.
