Position Overview

This role is a Limited Term position for 12 months, with the possibility of extension up to 24 months or conversion to a permanent role.

Under the guidance of the Chief Executive Officer (CEO), the Administrative Assistant I will autonomously handle a variety of administrative responsibilities and special initiatives to support the CEO in fulfilling their obligations. This position involves assisting the CEO in assessing and optimizing resource utilization, including personnel and budgetary considerations, and making informed recommendations.

The Administrative Assistant I will evaluate proposed policies, procedures, and program modifications, compile reports, interpret institutional and departmental policies for operational programs, and provide strategic recommendations. Additionally, this role may include supervising, reviewing, and approving the work assignments of office personnel.

Key Responsibilities:

  1. Support the overall mission and immediate objectives of the organization.
  2. Perform necessary tasks to enhance the delivery of program services.
  3. Conduct analysis and provide insights on resource allocation.
  4. Prepare and present reports on administrative matters.

Minimum Qualifications:

Option I: A minimum of twelve months of experience in California state service performing duties equivalent to Junior Staff Analyst, Range B, or Staff Services Analyst, Range B.

Option II: At least eighteen months of experience in California state service as an Executive Secretary I.

Option III: Two years of progressively responsible experience in one or a combination of the following areas:

  1. Assisting an administrator with administrative tasks and preparing reports or recommendations for administrative actions.
  2. Professional or technical experience in a field typically requiring a collegiate-level education, with at least one year in a supervisory capacity.

Education: Equivalent to a college degree. Additional qualifying experience may substitute for education on a year-for-year basis.

Individuals eligible for a Training and Development assignment may also be considered for this position.

Working Conditions:

Travel may be required as part of the job responsibilities.

New candidates to the organization are required to undergo a background investigation process, including Live Scan Fingerprinting and Tuberculosis testing prior to appointment.
