Job Overview

Position Summary:

The RCM Intake Manager is responsible for overseeing all aspects of Revenue Cycle Management related to patient intake processes. This includes tasks such as benefit verification, authorization procedures, and financial counseling for patients. The role involves collaboration with Intake Managers and Revenue Cycle Management to address and resolve any holds. Additionally, the manager will analyze trends and issues arising from interactions with intake staff, healthcare providers, and insurance payers.


Key Responsibilities:

  • Possess extensive knowledge of insurance coverage for infusion services, including specific health plans, and understand the essential requirements for accurate benefit verification and authorization.
  • Effectively identify guidelines and coverage rules, ensuring prior authorizations and certificates of medical necessity are obtained when necessary.
  • Demonstrate proficiency in pharmacy management software related to infusion services.
  • Maintain precise and comprehensive records.
  • Engage in effective communication to resolve issues with patients, healthcare providers, referral sources, and third-party insurance entities, including Medicaid and Medicare.
  • Assess needs and collaborate effectively with all members of the Infusion Team, including pharmacists, nurses, IV pharmacy technicians, and drivers, to achieve organizational goals.
  • Exhibit teamwork by assisting with administrative tasks such as filing and organizing charts as needed.
  • Support the answering and directing of phone inquiries.
  • Work collaboratively with the revenue team to enhance billing and collection processes for insurance claims.
  • Commit to ongoing education regarding the services offered by the company and familiarize oneself with relevant drug terminology and therapies.
  • Actively uphold the company’s mission and adhere to organizational policies and procedures.
  • Maintain a professional demeanor and ethical behavior while handling sensitive member and employee information, ensuring compliance with HIPAA regulations.
  • Contribute to team effectiveness by leveraging talent through strong leadership and promoting best practice standards.
  • Foster a constructive work environment characterized by attendance, punctuality, respect, and effective communication.
  • Adjust work assignments to meet service delivery and company objectives.
  • Proactively identify and implement new policies and practices to enhance work quality.
  • Mentor and train new team members.
  • Perform additional duties as assigned by management.

  • Ensure the confidentiality of patient and proprietary information at all times.
  • Adhere to legal and ethical guidelines for safeguarding sensitive information.
  • Comply with HIPAA regulations.
  • Meet all accreditation, legal, regulatory, and safety requirements in all activities.

Qualifications:

  • High School diploma or equivalent; a college degree is preferred.
  • A minimum of five years of experience as an Intake Authorization Coordinator or in a similar role as determined by management.
  • Excellent communication skills, including proficiency in reading, writing, and speaking to fulfill job responsibilities effectively.
  • Experience in providing customer service to both internal and external clients, ensuring quality standards and evaluating customer satisfaction.
  • Proficient in computer skills, including data entry and access, with knowledge of Excel, internet usage, and word processing.
  • Ability to calculate and verify correct medication dosages.
  • Strong attention to detail and the ability to prioritize multiple tasks efficiently.
  • Capability to work effectively under stress.
  • Demonstrated management skills and expertise in relevant areas.

Preferred Qualifications:

  • Experience in an acute or specialty infusion pharmacy.
  • Experience in a hospital infusion pharmacy setting.
  • Familiarity with sterile compounding practices.
  • Experience with CPR+ Pharmacy Management System.

Physical Requirements:

Must be able to stand, walk, sit, talk, and hear; use hands to operate vehicles and office equipment; occasionally lift and/or move up to 25 lbs; possess specific vision capabilities including close, distance, and peripheral vision, and the ability to adjust focus.
