Position Overview
The Administrative Support Specialist is integral to the smooth functioning of our organization. This role encompasses a variety of responsibilities that support our professional team across multiple departments.

Key Responsibilities
- Serve as the first point of contact for office visitors, providing assistance and direction.
- Manage inventory and replenish office supplies to ensure a well-stocked environment.
- Sort and distribute incoming mail efficiently.
- Facilitate the approval process for employee access passes.
- Oversee the inventory and restocking of the office lunchroom.
- Generate necessary documentation from the ERP system to assist Operations and Supervision.
- Prepare shipping documentation for the logistics department.
- Communicate with clients to provide updates on delivery statuses.
- Coordinate maintenance and repairs for office equipment.
- Handle requests for purchase orders, ensuring proper issuance and archiving.
- Process sales and laboratory invoices accurately.
- Maintain and update the accounts payable database with relevant order information.
- Liaise with suppliers to confirm or modify orders as required.
- Ensure that shipping and receiving operations run smoothly, confirming product conditions upon arrival.
- Organize and maintain a filing system for vendor and customer invoices and orders.
- Cross-check product deliveries against purchase orders and collaborate with Accounts Payable for processing.

Qualifications
To excel in this role, candidates should possess:
- An associate's degree or three years of relevant business experience.
- Strong interpersonal skills and the ability to multitask effectively.
- Physical capability to perform tasks that include sitting, standing, bending, and lifting up to 25 lbs.
- A self-motivated and adaptable nature, thriving in a dynamic work environment with minimal supervision.
- A collaborative mindset, with the ability to communicate effectively across various teams.
- Proficiency in computer applications, including Excel, Word, and PowerPoint, with a willingness to learn company-specific systems.
