Position Overview
The Administrative Support Specialist is essential to our operational success. This role serves as a vital office administrator and resource for our professional team, providing support across various departments and adapting to the needs of the organization.

Key Responsibilities
- Welcome and assist visitors to the office.
- Manage inventory and replenish office supplies as necessary.
- Sort and distribute incoming mail.
- Process employee access requests and issue gate passes.
- Maintain the office lunchroom by managing supplies.
- Generate documentation from the ERP system to assist Operations and Supervision.
- Prepare necessary shipping documentation for the Shipping Department.
- Communicate with clients regarding delivery updates.
- Coordinate maintenance and repairs for office equipment.
- Handle purchase orders by receiving requests, issuing, and archiving them.
- Manage sales and laboratory invoices by issuing, receiving, and archiving.
- Update accounts payable records with relevant order information.
- Liaise with suppliers to confirm or modify orders as needed.
- Ensure the shipping and receiving department operates smoothly by acting as a liaison.
- Organize and maintain filing systems for vendor and customer invoices and orders.
- Verify product deliveries against purchase orders and collaborate with Accounts Payable for processing.
- Provide backup support for Customer Service and Accounts Payable when required.

Qualifications
To excel in this role, candidates should possess:
- An associate's degree or a minimum of three years of relevant business experience.
- Strong interpersonal skills and the ability to multitask effectively.
- Physical capability to sit, stand, bend, walk, and lift up to 25 lbs. regularly.
- A self-motivated and adaptable approach to work in a dynamic environment with minimal supervision.
- A collaborative mindset and ability to communicate across various teams.
- Proficiency in computer applications, including Excel, Word, and PowerPoint, with a willingness to learn company-specific systems.
