eTeam Inc is seeking a highly skilled and experienced Executive Assistant Business Partner to support our senior leadership team. As a key member of our team, you will be responsible for providing administrative support to our Vice Presidents of Investor Relations & Treasury, Corporate Development, and Internal Audit.

Key Responsibilities
  • Calendaring and Scheduling: Manage complex calendars, prioritize meeting cadences, and make scheduling decisions based on business needs.
  • Event Coordination: Plan and execute executive-led events, including venue selection, event content creation, and logistics management.
  • Meeting Support: Coordinate executive-led meetings, draft agendas, capture meeting notes, and assign action items.
  • Project Coordination: Support executive-led projects and initiatives, attend meetings, track progress, and create draft presentations.
  • Representation: Serve as a positive representation of the executive team, both internally and externally.
  • Expense Management: Process and reconcile expense reports for executives and work with accounting to address discrepancies.
  • Travel Coordination: Arrange travel, hotel accommodations, and transportation for executives and their teams.
  • Employee Recognition: Maintain and track employee recognition rewards and morale budgets.
  • Event Facilitation: Collaborate with the Global Events Manager to facilitate executive-led virtual events.
  • Backup Support: Provide backup support coverage for executives as needed.
  • Onboarding: Assist with new hire training and serve as an onboarding buddy.
Requirements
  • Experience: 3+ years of experience supporting executives, with a focus on VP and Director-level support.
  • Technical Skills: Proficient in MAC, Workday, Expensify, Google Suite, and MS Office Suite.
  • Confidentiality: A solid track record of handling confidential information with integrity.
  • Self-Starter: Ability to take on and own projects with minimal direction.
  • Team Player: Willingness to jump in and help where needed.
  • Organization: Excellent organization skills, attention to detail, and ability to handle multiple tasks in a fast-paced environment.
