About This Job

We are seeking a highly skilled and organized Administrative Assistant to join our Legal Division team. As a key member of our team, you will provide administrative support to a senior group of executives, coordinating complex meetings and conference calls, handling high-volume phone calls, and interacting with high-level business leaders in a professional and effective manner.

Responsibilities and Qualifications
  • Provide administrative support in a complex team environment to a senior group of executives.
  • Coordinate complex, senior-level internal and external meetings and conference calls.
  • Handle a high volume of phone calls and interact with high-level business leaders in a professional and effective manner.
  • Support internal and external managers or clients.
  • Organize and ship literature to clients.
  • Respond and follow up on client requests.
  • Maintain complex and extremely detailed calendars and prioritize meeting requests and related logistics.
  • Coordinate a high volume of domestic and international travel arrangements and process expense reports.
  • Prepare and distribute divisional correspondence, memos, letters, reports, or other documents as requested.
  • Maintain an understanding of firm policies and handle certain issues independently.
  • Manage monthly invoices and arrange for payment.
  • On-board new hires, process new employees, transfers, terminations, etc.
  • Responsible for participation in general administrative duties, ad-hoc projects, committees, and group events.
  • Order supplies and keep inventory well-stocked.

  • Demonstrates high degree of integrity and confidentiality.
  • Strong organizational skills.
  • Comfortable working with people at all organizational levels.
  • Comfortable working in a sometimes hectic, high-pressure environment.
  • Ability to display a consistent, professional degree of communication.
  • Ability to work well under pressure, adapt to unexpected events, prioritize, and multi-task in a deadline-driven environment.
  • Must be able to prioritize a variety of time-sensitive tasks.
  • Must have excellent judgment, independent thinking, and resourcefulness.
  • Strong proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • Team player with a positive attitude.
  • Highest degree of integrity, professionalism, diplomacy, and discretion required.
  • Prefer 3+ years of experience.
