Job Title: Administrative Assistant

We are seeking an experienced Administrative Assistant to join our team at KNOWLEDGE BUILDERS. The successful candidate will provide high-level administrative support to the Life Bureau Deputy Superintendent.

Key Responsibilities:
  • Provide administrative support to the Deputy Superintendent, including conducting research, preparing statistical reports, and handling information requests.
  • Perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, and organizing travel.
  • Screen incoming correspondence, refer to appropriate staff, and follow up to assure timely response.
  • Perform special assignments, studies, and routine administrative functions as specifically directed.
  • Act as the Deputy Superintendent's personal representative in routine contacts with other State executives.
Requirements:
  • Minimum of three years' experience working directly for a person in an executive position as an administrative assistant.
  • Three years of administrative assistant experience in the financial or legal sectors.
  • Eligible to work in New York State.
Preferred Qualifications:
  • Excellent verbal communication, writing, and interpersonal skills.
  • Strong project management skills, including experience managing multiple time-sensitive, complex projects simultaneously.
  • Detail-oriented with the ability to organize and prioritize tasks effectively in a fast-paced environment.
  • Proficiency with Microsoft 365, including working experience with Excel, WebEx, and Zoom.
