About the Position

The Commonwealth of Virginia is seeking a highly organized and detail-oriented Clinical Administrative Specialist to join our team at Student Health Services. As a key member of our front office team, you will provide exceptional customer service, support the SHS mission, and represent the team as the liaison between medical staff and visitors.

Responsibilities
  • Support the SHS mission by maintaining a presence and acting as the liaison between medical staff/visitors at the front desk;
  • Provide direct customer support;
  • Assist students in need of health care services;
  • Provide excellent and exemplary customer service to both internal staff and external customers.
Administrative Office Duties
  • Serve as a receptionist/gatekeeper to the Medical Clinic;
  • Schedule patient appointments;
  • Assist patients with registration process;
  • Complete accurate data entry of patient information, as well as patient demographic information and immunizations;
  • Answer incoming calls, take messages, and directs patients or visitors to appropriate resources or nurse;
  • Manage patients walking into the clinic with or without an appointment;
  • Promptly report potential emergent patients or situation to the appropriate staff;
  • Receive, sort, and route incoming mail;
  • Manage incoming or outgoing faxes;
  • Provide excellent customer service by handling inquiries, providing information, politely, accurately, and in a timely manner.
Requirements
  • Demonstrated organizational skills with ability to handle multiple tasks simultaneously;
  • Demonstrated interpersonal and communication skills;
  • Knowledge and understanding of front office procedures in a primary care clinic setting;
  • Basic computer knowledge and skills, including Microsoft Office, Excel and Outlook;
  • Basic understanding of medical terminology;
  • Experience with Electronic Health Record, typically obtained in two years;
  • Experience with patient check-in and patient check-out procedures, typically obtained in two years;
  • Ability to prioritize and facilitate cohesiveness and team work.
Preferred Qualifications
  • Basic CPR certification;
  • Experience typically obtained in 2+ years of medical office or other patient ambulatory clinic setting;
  • Experience and knowledge of unique needs of a college student, typically obtained in 2+ years.
