Position Overview:

This role is situated within the Academic Administration at the Office of the Provost. As the Financial Operations Administrative Specialist, you will be instrumental in delivering administrative assistance to facilitate seamless operations. Your duties will encompass managing team communications effectively, reviewing and organizing assignments, participating in meetings, and maintaining documentation related to tasks.

Key Responsibilities:

  • Management of Team Communications: Act as the primary contact for administrative support, ensuring timely responses and proper distribution of support requests. Monitor response times, track communication processes, and generate regular reports for leadership. Proactively inform team leaders of any communication gaps.
  • Review and Oversight of Team Assignments: Conduct daily reviews of tasks to ensure clarity and timeliness. Communicate changes and deadlines, create daily action reports, and update the team task calendar. Seek clarification on assignments as necessary to maintain comprehensive records.
  • Meeting Documentation: Attend meetings, take thorough notes on assigned tasks or projects. Update task files in Microsoft Teams and pose relevant questions to ensure clarity regarding task completion.

Required Qualifications:

  • Associate's degree or equivalent educational background;
  • Detail-oriented with the capability to summarize complex information from various sources effectively;
  • Strong critical thinking skills;
  • Ability to initiate tasks independently;
  • Excellent listening and comprehension abilities;
  • Proficient in MS Office tools and team collaboration;
  • Basic skills in Adobe editing;
  • Ability to adhere to rules and policies;
  • Effective in fostering positive relationships in a diverse environment;
  • Commitment to confidentiality.

Preferred Qualifications:

  • Familiarity with Ellucian Banner and MicroStrategy;
  • Experience in creating and editing Adobe Acrobat pdf files;
  • Background in hybrid teamwork.
