Job Overview

Position Summary

The Construction Project Coordinator serves as the primary liaison for clients throughout the entire project execution journey, from initial design through bidding, construction, and operational start-up. In this role, you will be responsible for ensuring that each project's objectives regarding scope, budget, and timeline are effectively achieved. Our projects focus on the design and construction of food and beverage processing facilities, which are categorized as industrial undertakings. The Project Coordinator will engage actively with design teams, engineering groups, and construction personnel to guarantee project success.

Key Responsibilities

  • Independently manage specific project tasks.
  • Oversee projects from the planning phase to commissioning, establishing key success metrics and ensuring their attainment.
  • Assist in defining project scope, budget, schedule, and critical path components.
  • Develop Requests for Information (RFIs).
  • Prepare purchase and work authorizations.
  • Maintain the client SharePoint site.
  • Manage both in-house and consulting design teams to ensure product quality.
  • Set design criteria and review documentation during design and construction phases.
  • Facilitate permit, code, and regulatory approvals.
  • Prepare preliminary procurement plans, including bid packages and evaluations.
  • Assemble and assess potential project bidders.
  • Define agendas for kick-off meetings.
  • Determine project deliverables.
  • Coordinate all project communications.
  • Develop project outline specifications.
  • Create conceptual layouts, understanding personnel and material flows.
  • Draft medium engineering services proposals.
  • Manage the bidding process with professionalism and fairness.
  • Maintain an 'Outstanding Items Needs' list.
  • Document project meeting notes.
  • Implement lessons learned from previous projects.
  • Generate and distribute monthly reports.
  • Identify project permitting requirements.
  • Update project forecasting tools on a monthly basis.
  • Review and approve engineering deliverables.
  • Prepare preliminary construction cost estimates.
  • Clarify project assumptions and exclusions.
  • Review and approve supplier invoices and client billing.
  • Establish and maintain submittal and RFI processes.
  • Draft preliminary cost estimates for project management, engineering, construction management, and start-up support.
  • Facilitate food safety risk assessments.
  • Organize construction trades and manage subcontractor relationships.
  • Oversee project budgets and expense approvals.
  • Administer contract and change order processes.
  • Supervise equipment installations.
  • Provide on-site oversight and coordinate design team support activities.
  • Lead project interactive planning sessions.
  • Refine and update budget forecasts.
  • Finalize procurement strategies.
  • Manage project punch-list inspections.
  • Compile and maintain comprehensive project records and close-out documentation.
  • Facilitate client and third-party design reviews.
  • Engage with clients at their facilities and construction sites.
  • Utilize various software applications including MS Office, CAD, Navisworks, MS Project, and SharePoint.
  • Research and implement project management best practices.
  • Support talent development within the organization.

Qualifications

  • Bachelor's degree in Construction Management, Architecture, or Engineering.
  • 4-7 years of experience in a design-build or general contracting environment, collaborating with multiple engineering disciplines and design teams.
  • 4-7 years of experience in MEP industrial construction projects, ideally within the food and beverage or pharmaceutical sectors.
  • 4-7 years of experience in building construction, project scheduling, estimating, and safety management.
  • Proven track record of successful project management as a Project Manager, delivering projects on time and meeting client expectations.
  • Basic proficiency in AutoCAD, Revit, Navisworks, and similar design software.
  • Familiarity with sanitary environments is advantageous.
  • Strong attention to detail, accuracy, and adherence to deadlines.
  • Willingness to travel overnight at least 50% of the time, as projects are located across various regions.
  • Excellent analytical, organizational, interpersonal, and communication skills.

Physical Requirements

  • Ability to sit for extended periods while working on a computer.
  • Occasional standing and walking on job sites with uneven terrain.
  • Capability to lift up to 15 pounds as needed.

Travel Requirements

  • Projects are located throughout various regions, necessitating collaboration with owners, A/E teams, subcontractors, and building officials at client facilities and construction sites, with a travel requirement of at least 50%.
