About the Role

We are seeking a highly skilled Executive Administrative Support Specialist to join our team at Virtua. This is an exciting opportunity for an experienced professional to provide administrative support and contribute to the smooth operation of our office.

Job Summary

The Executive Administrative Support Specialist will be responsible for providing general and advanced administrative, secretarial, and office support. This includes ensuring efficient office operation, researching information requests, preparing reports and presentations, and assisting in budget formulation and planning functions.

Key Responsibilities
  • Provide administrative support to senior staff members, including scheduling appointments, meetings, and conferences, and maintaining calendars.
  • Screen phone calls and visitors, route them to the appropriate party, and address routine inquiries.
  • Prepare meeting minutes, memos, and compose routine and advanced correspondence.
  • Maintain department records and files, and process and/or maintain confidential or sensitive information.
  • Assist in the formulation of the department budget, business plan, or related planning functions.
  • Lead work of other clerical or administrative support personnel on a project basis, as assigned.
Requirements

To be successful in this role, you will need:

  • 3-5 years of executive secretarial or administrative support experience.
  • Computer user proficiency (Excel, Word, PowerPoint, Outlook, Internet).
  • Excellent communication skills (verbal, written, listening) to interact with employees at all levels and external clientele.
  • Advanced organizational skills ability to work proactively with changing priorities.
  • A working knowledge of organization policies and procedures or ability to quickly learn and operate within those parameters.
Benefits
