Position Summary:


In this dynamic role, you will report to the Associate Director of Talent Acquisition Operations and be accountable for delivering exemplary candidate support in areas such as interview coordination, onboarding processes, orientation, and employment verification.

Alongside your daily responsibilities, you will have the chance to enhance the Talent Acquisition function by focusing on process improvements, applicant tracking systems, and the integration of automation and AI tools.

As a Recruitment Operations Specialist, collaboration and meticulousness are essential.

You will engage closely with candidates, recruiters, and hiring managers, paying particular attention to scheduling specifics to ensure a favorable experience for all parties involved.

Adaptability is also crucial in this role due to fluctuating schedules and urgent requests.

Given your interactions with candidates and new employees, you will be expected to work from our office two to three days a week.


Key Responsibilities:


Deliver an outstanding experience for candidates, recruiters, and hiring managers by proactively managing a high volume of interview scheduling, debrief meetings, and candidate travel arrangements (as necessary) across various positions.

Assist in guiding candidates and hiring managers throughout the interview journey.

Address challenges when plans change; handle interview cancellations, rescheduling, double-booked interviewers, MS Teams/Zoom links, and more.


Welcome new hires to ensure a smooth onboarding experience, including leading new hire orientation sessions and processing federal I-9 documentation.


Collaborate with the talent acquisition team on diverse projects that align with the team's objectives (e.g., developing candidate resources, enhancing our interview scheduling procedures, and more).

Qualifications:

Minimum of 2+ years of experience as a talent acquisition coordinator

Proficient in using a web-based Applicant Tracking System (ATS) and Human Capital Management (HCM) system, along with MS Office

Able to adapt as a team player; skilled at engaging with multiple individuals simultaneously in a fast-paced, high-volume work environment

Strong commitment to candidate care, ensuring they have a positive experience, conveyed in a friendly, concise, inclusive, and professional manner (both written and verbal)

Detail-oriented and process-focused: consistently seeking ways to enhance efficiency
