Position Overview:
The compensation for this role is set at $25.00 per hour, contingent upon qualifications and is fixed.

KPBS is dedicated to serving the San Diego community through a variety of informative, cultural, entertaining, and educational programming across television, radio, and digital platforms. As the public broadcasting entity for San Diego, KPBS is affiliated with San Diego State University, enhancing the university's mission of education and community service by providing valuable programming to its audience.

In this capacity, the Newsroom Operations Specialist will work under the supervision of the Newsroom Office Manager, delivering comprehensive operational and administrative assistance to the KPBS Newsroom.


This role encompasses a wide array of responsibilities, including the management of financial documentation, meeting coordination, travel arrangements, and expense reporting.


Tasked with supporting essential daily business functions, expense management processes, and departmental coordination, this position requires innovative problem-solving skills and serves as a vital support system for the Newsroom Office Manager. Effective communication and collaboration with colleagues at all levels, both internally and externally, are essential. A keen attention to detail and a commitment to confidentiality when dealing with financial matters and sensitive information are imperative.

Key Responsibilities:


The following duties are representative of the responsibilities expected of the Newsroom Operations Specialist and are not exhaustive.

Primary Duties (90%):

- Oversee correspondence, filing systems, and manage incoming and outgoing mail while ensuring office supplies are adequately stocked.
- Coordinate travel and accommodation logistics in partnership with finance personnel.
- Troubleshoot issues for newsroom staff and facilitate communication across departments.
- Maintain emergency supplies for staff during breaking news coverage.
- Ensure new hires are integrated into emergency communication systems.
- Assist in administrative tasks and special projects as needed.
- Manage equipment check-in/check-out processes and submit repair or replacement requests for office items.
- Process travel arrangements, per diem, mileage reports, and disbursement requests accurately and promptly.
- Coordinate and submit staff reimbursements and vendor invoices in a timely manner.
- Act as a liaison with internal and external departments, including News, Finance, and SDSU.
- Maintain accurate records and correspondence.
- Monitor daily voicemail messages and route them to appropriate staff.
- Oversee inventory logs, first aid kits, and emergency equipment.
- Review daily content stories and upload transcripts.
- Prepare and update reports on a weekly, monthly, and quarterly basis using Google Sheets and Excel.
- Review web stories daily to align with audio content for quarterly reporting.
- Escort guests in and out of the newsroom.
- Schedule professional development and departmental meetings as required.

Additional Responsibilities (10%):

- Attend required daily, weekly, and monthly meetings.
- Serve as backup support to the Newsroom Office Manager when necessary.

Qualifications:

Knowledge and Skills:


- Demonstrated organizational skills, ability to meet deadlines, attention to detail, and sound judgment for timely decision-making.

- Capacity to maintain confidentiality.
- Ability to support a diverse workforce of 50 or more individuals.
- Strong oral and written communication skills, including proficiency in English grammar, spelling, and punctuation.
- Capability to analyze data and make accurate projections using basic statistical techniques.


- Proficiency in Microsoft Office applications (Outlook, PowerPoint, Word, Excel) and familiarity with Google Apps (Mail, Calendar, Google Drive) is preferred.

- Competence in operating standard office equipment (copier, scanner, fax machine, etc.).
- Ability to work independently and collaboratively within a team environment, demonstrating effective problem-solving skills.
- Proven customer service and interpersonal skills.
- Ability to understand and adhere to established work rules and procedures.
- Ability to relate well to others in a project environment.

Minimum Education/Experience:

- High school diploma; additional experience may substitute for required education on a year-for-year basis.
- Four years of progressively responsible experience in an office support or administrative capacity.

Preferred Qualifications:

- Bachelor's degree or equivalent experience in Business Administration, Journalism, or Public Media.
- Proficiency with Google Suite.
- Ability to manage multiple responsibilities and competing priorities.
- Proactive learner with strong attention to detail, initiative, and organizational skills.
