Babcock Power is a leading provider of energy solutions, and we're seeking an experienced Administrative Coordinator to join our team.
Job SummaryWe're looking for a highly organized and detail-oriented individual to provide administrative support to our engineering department. As an Administrative Coordinator, you'll be responsible for managing day-to-day office operations, coordinating with engineers and drafting personnel, and assisting with the release of drawings and documents to customers, vendors, and internal teams.
You'll play a critical role in gathering and reporting information related to engineering consulting projects, evaluating incoming telephone calls and mail, preparing correspondence and reports, and developing new ideas to reduce costs.
This is an excellent opportunity to leverage your administrative skills, knowledge of office policies and procedures, and experience with Microsoft Office to make a meaningful contribution to our team.
We offer a competitive salary of $45,000 - $60,000 per year, depending on experience, as well as opportunities for professional growth and development.
Responsibilities- Provide general office support, including deliveries, mail, and coordination with the building lobby
- Evaluate and prioritize incoming telephone calls and mail
- Inform engineering staff of meetings and pending action items in a timely manner
- Prepare and distribute all correspondence and reports in a timely manner
- Assist with the preparation of manuals and technical documents as required
- Able to work in TEi DCAP system assisting technical personnel with document posting, procurement packages, DDTS, and approval routing process
- Develop new ideas and concepts to reduce costs
- Make travel arrangements for all personnel in the engineering department
- Assist engineering department personnel with processing expense reports
- Scan project information and transfer microfilm into DCAP
- High School Diploma or equivalent
- Minimum 2 years' experience in an administrative role
- Knowledge of office policies, work standards, and ethics
- Excellent communication and interpersonal skills, both written and oral
- Ability to multitask, meet deadlines, and work independently
- Advanced proficiency in Microsoft Office, including Word, Excel, and PowerPoint
