Corporate Legal Secretary


Location: Cerritos, CA

Pay Rate and Benefits: $70,000 to $92,000 per year, along with comprehensive benefits such as medical, dental, vision, etc.

Position Type: Full-time, Direct Hire, Onsite


LHH has partnered with a large regional firm in seeking a skilled and detail-oriented Corporate Legal Secretary to provide comprehensive administrative and secretarial support dynamic team in Cerritos, CA. In this role, you'll play a vital part in providing secretarial assistance to our attorneys, ensuring smooth operations and effective communication.


Responsibilities:

  • Compile and organize documents and exhibits for submissions to the Secretary of State, tax authorities, courts, and other government entities.
  • Draft and finalize formation documents for corporations and LLCs, such as articles of incorporation/organization, bylaws, statements of information, EIN applications, and related filings.
  • Assist with the preparation and completion of corporate minutes, legal documents, correspondence, and memoranda from written drafts or transcriptions.
  • Coordinate and manage attorneys’ schedules, including tracking deadlines, arranging appointments, and planning meetings.
  • Perform research and obtain documentation from public records and government agencies.
  • Review and proofread documents to ensure accuracy, proper formatting, and compliance with Firm standards.
  • Organize and maintain client files, ensuring records are up-to-date and accessible.
  • Utilize office equipment such as transcription devices, scanners, photocopiers, and Microsoft Office Suite to complete tasks efficiently.
  • Sort, prioritize, and distribute incoming mail and email correspondence.


Qualifications:

  • 4+ years of substantive corporate/transactions experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with document management systems such as iManage.
  • Ability to type 70 wpm.
  • Professional communication skills (verbal, written, and telephone).
  • Strong organizational skills to manage multiple priorities and deadlines.
  • Knowledge of corporate and transactional filing procedures.
  • Ability to prepare and finalize legal and corporate documents.
  • Experience with maintaining confidentiality and observing professional standards.
