Position Overview
This role encompasses a 0.9 Full-Time Equivalent (FTE) commitment, requiring a 36-hour work week. Shifts will range from 7 to 8 hours, scheduled Monday through Friday, between 7 AM and 8 PM. The position mandates one evening shift weekly and participation in a Saturday morning rotation, with an estimated commitment of one Saturday morning every other month.

Role Responsibilities

WORK HOURS: 36 hours per week, Monday to Friday, within the hours of 7 AM to 8 PM. One evening shift per week and participation in Saturday morning rotation required.

POSITION SUMMARY: This role is responsible for delivering comprehensive and precise patient scheduling, registration, insurance verification, and the coordination of relevant screening, diagnostic, and outpatient services. The candidate must demonstrate effective communication and coordination skills, particularly during peak volumes or with complex patient needs.

KEY FUNCTIONS: Qualified candidates should possess the capability (with or without reasonable accommodation) to execute the following tasks:
  • Conduct thorough and accurate patient registration, including walk-ins, check-ins, and scheduled appointments.
  • Exhibit adaptability and efficiency during high-volume periods and with patients of varying acuity levels.
  • Manage inbound and outbound communications with patients and relevant parties, addressing general inquiries and concerns professionally, while escalating complex issues to supervisors as necessary.
  • Support Point of Service Collections and perform all necessary functions to collect patient obligations.
  • Direct patients to the appropriate resources for inquiries regarding collections, insurance coverage, and financial assistance.
  • Communicate essential information to patients regarding co-pays, out-of-pocket expenses, and appointment preparations.
  • Verify patient and insurance information, and manage referral and authorization processes as required.
  • Understand insurance coverage and referral requirements, performing both electronic and manual verifications.
  • Prepare and manage medical records in the e-Health system, ensuring timely documentation and compliance with regulatory standards.
  • Screen and relay messages according to established protocols for urgent and non-urgent communications.
  • Register unscheduled patients requiring full financial clearance.
  • Complete assigned scheduling and registration tasks in accordance with performance standards.
  • Resolve issues related to work queues and missing registration items using electronic medical records.
  • For regional roles, occasional travel to various sites may be necessary.
For Regional Roles:
  • Regular travel to different sites within the region to support operational needs.
  • Assist in onboarding new practices and mentoring team members during their initial period.
  • Engage in special projects as assigned.
ADDITIONAL FUNCTIONS: The following duties are secondary to the primary responsibilities listed above:
  • Nasal swabbing and general specimen collection may be required in specific departments.
  • Other duties as assigned.
QUALIFICATIONS

MINIMUM REQUIRED QUALIFICATIONS:
  • High School Diploma or equivalent (GED).
  • One year of experience in clerical, customer service, or administrative support within a customer-focused environment.
  • One year of experience with basic computer skills and office equipment.
  • For regional positions, a valid driver's license is required.
PREFERRED QUALIFICATIONS:
  • One year of experience in registration, point of service collections, insurance validation, and understanding of compliance and regulatory guidelines.
  • One year of experience in Revenue Cycle within a Hospital or Medical Office.
  • Prior experience with Epic or similar Electronic Medical Record systems.
