Job Summary:

The highly skilled office administrator plays a vital role in the daily operations of our team at Rush. As an Administrative Assistant 3, you will work independently on multiple tasks simultaneously, maintaining the highest level of confidentiality.

Responsibilities:

  • We are seeking an experienced administrative professional to perform various administrative tasks, including typing of correspondence, working with PowerPoint presentations, and computer problem solving.
  • You will prepare and schedule meetings, manage and administer the daily operations, organize work, set priorities, meet critical deadlines, and follow-up assignments with minimal direction.
  • This role requires discretion and independent judgment in daily activities and executive administrative details of a confidential nature.
  • Additionally, you will complete special assignments requiring collecting, organizing, and analyzing data based on significant decisions.
  • Managing multiple calendars is a key responsibility, requiring extensive attention to detail and the ability to make decisions regarding appointment priorities; organize and schedule meetings; arrange and prepare agendas and provide background information for various complex internal and external meetings and projects as requested or necessary.
  • You will also prepare confidential correspondence, reports, and other documents.
  • Ongoing reconciliation of accounts payable requests and answering administrative phone calls, receiving and screening patients and visitor's telephone calls, e-mails, and faxes, providing information, and resolving complaints using good judgment and the interpretation of policies and procedures are essential duties.
  • The ideal candidate will arrange travel and prepare itineraries for leadership to attend meetings, prepare and track reimbursement submissions, coordinate conference room reservations, serve as primary contact for monitoring ordering stocking office supplies, managing office equipment maintenance and repair issues, and environmental service problems.
  • This role offers a competitive salary range of $60,000 - $80,000 per year, depending on experience and qualifications.
