Global Events Experience Manager Role Overview

Rotary International is seeking an experienced Global Events Experience Manager to lead the planning and execution of high-profile international events. As a key member of the Global Events team, you will be responsible for managing complex projects, collaborating with stakeholders, and ensuring seamless event delivery.

  • This includes developing project plans, identifying opportunities for improvement, and implementing event design principles.
  • You will work closely with extended teams to implement project plans and report status to Director, Manager peers, and internal clients regularly.
  • Additionally, you will oversee the budgeting, forecasting, and monitoring of meeting expenses, ensuring compliance with contractual deadlines and corresponding payments.

Key Responsibilities:

  • Project Management and Event Design:
    • Develop project plans for annual meetings and events, including an annual leadership learning event and an international convention.
    • Identify opportunities to improve events via application of event design principles and change management strategies.
    • Collaborate with extended teams to implement project plans and event design principles.
  • Administration and Team Management:
    • Serve as a project manager for department activities, attending necessary meetings, communicating cross-departmental information, and monitoring deliverables for quality and timeliness.
    • Build team competency by cross-training on departmental tasks and seeking appropriate professional development and skill-building opportunities.
    • Hire, train, supervise, evaluate, and lead Global Events team members.
  • Volunteer Engagement:
    • Liaise with international volunteer leadership and local volunteers as an additional point of contact in the absence of the Director.
    • Communicate with host organization committees and provide consultation and information to committees as needed.
  • Procurement and Budget:
    • Oversee the budgeting, forecasting, and monitoring of meeting expenses, ensuring compliance with contractual deadlines and corresponding payments.
    • Contribute to the development of the Meetings & Events administrative and operating budget.
