Job Summary

We are seeking a highly skilled and experienced Global Events Experience Manager to join our team. The successful candidate will be responsible for managing and executing large-scale events, including annual meetings and international conventions, while ensuring seamless project delivery and exceptional attendee experiences.

Key Responsibilities
  • Develop and implement project plans for annual meetings and events, including budgeting, forecasting, and monitoring expenses.
  • Collaborate with cross-functional teams to identify opportunities for event improvement and implement event design principles.
  • Manage and maintain ongoing project plans, reporting status to Director and internal clients regularly.
  • Execute meeting implementation, ensuring vendor and staff team delivery of the event plan.
  • Serve as a project manager for department activities, attending necessary meetings, communicating cross-departmental information, and monitoring deliverables for quality and timeliness.
  • Build team competency by cross-training on departmental tasks and seeking professional development opportunities.
  • Hire, train, supervise, evaluate, and lead a team of 2-3 direct reports and 7-10 indirect reports.
  • Contribute to Rotary International Board and Foundation Trustee items related to the department's work.
  • Respond to inquiries from members and participants according to internal protocols.
  • Contribute to committee advance memorandums, event manuals, and committee meeting minutes.
  • Update and maintain policies and procedures, as well as the business continuity plan.
Requirements
  • 5+ years of experience in project management, event planning, and team leadership.
  • Proven track record of delivering large-scale events and projects on time and within budget.
  • Excellent communication, collaboration, and problem-solving skills.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • Strong analytical and creative skills, with the ability to think outside the box.
  • Proficiency in budgeting, forecasting, and financial management.
  • Experience with contract negotiation and vendor management.
  • Ability to travel up to 20% of the time.
