Position Title: Event Management Specialist
Department: Sales and Marketing
Reports to: General Manager and Area Sales Manager
FLSA Designation: Nonexempt
Position Objective
This role is essential for organizing, overseeing, and executing all group events for the hotel, while also providing administrative assistance to the Area Sales Manager. Responsibilities include managing various systems, coordinating bookings, preparing event documentation, and ensuring smooth communication between clients and hotel departments.
Key Responsibilities
- Serve as the primary contact between clients and hotel staff, ensuring effective communication and satisfaction.
- Conduct client meetings and site inspections to facilitate event planning.
- Prepare and manage correspondence related to proposals, contracts, and event orders with a high degree of accuracy.
- Handle sales inquiries and provide timely information to clients, ensuring they are directed to the appropriate department.
- Assist in organizing site visits and client meetings to enhance customer experience.
Supportive Functions
In addition to the essential functions, this position may involve:
- Conducting tours of meeting spaces and accommodations for clients.
- Delivering messages and information to clients during their stay.
- Assisting other departments as directed by management.
Qualifications and Skills
- Proficient in Microsoft Office and familiar with hotel management systems.
- Strong written and verbal communication skills in English.
- Basic mathematical skills for accurate calculations.
- Typing speed of at least 50 words per minute.
- Additional language skills are advantageous.
Education and Experience
A high school diploma is required, with a Bachelor's degree preferred. A minimum of 2 years of experience in the hospitality industry is necessary, with a preference for candidates with Marriott experience.
Physical Requirements
This position requires the ability to sit for extended periods, as well as perform tasks that involve walking, standing, bending, and reaching. Good hearing and vision are essential for safety and communication.
Work Environment
Most tasks are performed indoors in a controlled environment. Flexibility in work hours, including evenings and weekends, may be required based on business needs.
