New Vision Services Coordinator
This role entails overseeing the New Vision office operations, which includes engaging in and supervising the admission and referral processes, as well as conducting internal documentation audits. The New Vision Services Coordinator is also tasked with organizing weekly community outreach initiatives to boost the visibility of the New Vision Service and its associated client hospital.

The New Vision Services Coordinator collaborates closely with hospital administration, medical staff, the Regional Director of Operations, and the Clinical Director to ensure a seamless continuum of care for patients dealing with addiction. The employee is expected to be present at the client hospital during designated business hours to manage the intake staff, respond to inquiries, facilitate admissions and discharge planning, and meet with hospital physicians and nursing staff. The Coordinator should be on-site daily unless engaged in community outreach and educational activities aligned with the marketing and outreach strategy.

Key Responsibilities:
  • Maintain a minimum of 12 external marketing contacts weekly with various treatment agencies, medical offices, hospitals, etc.
  • Arrive at the hospital daily by 8 AM to commence the workday. Outreach activities should follow this check-in. Any outreach prior to hospital check-in requires prior approval from the Regional Director.
  • Complete assigned reports in accordance with company policies.
  • Supervise the daily operations of the New Vision office.
  • Manage the time allocation of the Intake Coordinator, including payroll approval, time-off requests, and communicating potential service coverage gaps to the Regional Director.
  • Effectively liaise with Hospital Administration, Physicians, Nurses, and Community Partners.
  • Serve as a bridge between the New Vision Service and the Community, as well as between the Client Hospital and the Corporate Office.
  • Assist the Intake Coordinator with inquiries, assessments, discharge planning, follow-up calls, and daily office operations.
  • Ensure compliance with HIPAA regulations.
  • Support organizational and departmental philosophies, goals, and objectives, and lead by example to motivate others.
  • Handle stressful situations and engage positively with others.
  • Be present during working hours for in-person meetings and have access to a computer without violating company policies.
  • Maintain regular attendance.
  • Adhere to a code of conduct that aligns with BayMark Services policies.
  • Perform other duties as assigned.

Qualifications:

  • A Bachelor's degree in Human Services, Psychology, Counseling, Substance Abuse, Criminal Justice, or a related field is preferred, along with a minimum of three (3) years of experience in social service and/or clinical service roles.
  • Valid Driver's License, Vehicle Registration, and verifiable Automobile Insurance.
  • Basic understanding of chemical dependency.
  • Experience in Marketing or Public Relations.
  • Dependability, punctuality, and a strong work ethic are essential.
  • Ability to work independently while being an integral part of a cohesive team.
  • Capability to engage with a diverse population.
  • Strong communication and organizational skills are required.
  • Demonstrated leadership and management skills.
  • Understanding of HIPAA guidelines and policies.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, etc.) and familiarity with email and attachments. Strong typing and computer application skills are necessary.
  • Understanding of documentation requirements in the healthcare sector.
  • Ability to identify and resolve issues promptly and analyze information effectively.
  • Commitment to confidentiality, openness to others' ideas, and willingness to try new approaches.
  • Ability to communicate clearly and persuasively in various situations.
  • Competence in editing work for spelling and grammar, presenting numerical data effectively, and interpreting written information.
  • Skill in prioritizing and planning work activities, using time efficiently, and developing realistic action plans.
  • Attention to detail and a commitment to quality are essential.
  • Adaptability to changes in the work environment and the ability to manage competing demands.
  • Satisfactory references from employers and/or professional peers.
  • Successful completion of a drug screen and criminal background check.
