Position Overview:
The Spa Operations Supervisor plays a crucial role in assisting the spa director with the daily management of the spa, ensuring exceptional service for guests and maximizing financial performance and guest satisfaction.
The supervisor will coordinate the schedules and activities of spa service providers, front desk concierges, and spa attendants, while also fulfilling regular shifts at the front desk.
Daily interactions with guests, addressing concerns, and driving revenue through exemplary performance are key responsibilities. The supervisor will also assist the director with special projects and monitor team members' retail and service performance.
The ideal candidate is not only a champion of guest service and sales but also an inspiring leader within the team.
In the absence of the director, the supervisor ensures smooth internal operations and identifies opportunities for increased efficiency and profitability while enhancing associate engagement and satisfaction.
Key Responsibilities:
- Act as the primary contact for the department in the director's absence, keeping them informed of daily operations.
- Understand budgets, payroll, and labor reports to assist in the financial management of the spa, recognizing the impact of departmental operations on overall property goals.
- Manage weekly schedules within budget, assist with time-off requests, and ensure adequate staffing to optimize revenue.
- Work at the front desk as a concierge, setting a standard for guest relations and service excellence.
- Engage with guests to gather feedback on guest satisfaction, resolve issues, and complete daily reports.
- Foster collaborative relationships with associates and promote a team-oriented environment.
- Highlight guest satisfaction during departmental meetings, sharing feedback and reviews to drive performance.
- Conduct daily inspections of fitness facilities and report any equipment issues, maintaining a facilities logbook.
- Ensure daily linen count reports are accurate and distributed; conduct monthly linen inventory and manage orders.
- Assist in developing and maintaining a comprehensive training program and operational manual for spa staff.
- Oversee monthly retail inventory, assist with orders, invoice processing, and end-of-month reporting.
- Update daily revenue and retail goals tracker, sharing progress with team members and the director.
- Participate in ongoing employee recognition initiatives, celebrating achievements and providing public acknowledgment.
- Encourage feedback through an open-door policy and support the director in achieving departmental goals.
- Assist in planning and staffing special events and retail promotions.
- Collaborate with lead therapists to ensure cleanliness, proper stocking, and efficient use of downtime.
- Support the director in interviewing, training, counseling, and evaluating spa associates.
- Be knowledgeable about safety procedures and guide guests and associates during emergencies.
- Understand, train, and adhere to the standards and guidelines of Heavenly Spa by Westin, Westin, and HEI.
- Perform other duties as assigned.
Qualifications:
Minimum of 2 years of experience in the spa industry, with at least 1 year of supervisory experience in hospitality, spa, or retail, or a degree in hospitality/spa management is required.
Preferred Skills:
Familiarity with Book4Time, Birchstreet, Kronos, Lightspeed, and Microsoft Office Suite is preferred. Candidates should demonstrate strong sales skills, be quick thinkers, multitaskers, and team motivators. Dependability and flexibility to work various schedules, including weekends and holidays, are essential.
