Job Title: Chief Executive Officer Support Specialist

We are seeking a highly skilled and experienced Chief Executive Officer Support Specialist to join our team at Find Next Hire. As a key member of our organization, you will provide top-notch operational and administrative support to our CEO, ensuring seamless execution of their duties and responsibilities.

Key Responsibilities:
  • Manage the CEO's calendar and schedule meetings and appointments to maximize their time and productivity.
  • Handle correspondence, including emails, letters, and phone calls, in a timely and efficient manner.
  • Prepare presentations and other materials for the CEO to use in meetings and other events.
  • Coordinate travel arrangements for the CEO, including booking flights, hotels, visas, and ground transportation.
  • Act as a gatekeeper, filtering incoming requests and information to ensure the CEO's time is used efficiently.
  • Support the CEO's strategic initiatives by conducting research, developing new programs, and preparing for board meetings.
  • Remind the CEO of important tasks and deadlines.
  • Develop and implement filing systems, both hard copy and soft copy.
  • Liaise with staff, suppliers, and clients.
  • Take meeting minutes.
  • Produce documents, briefing papers, reports, and presentations.
  • Follow up on pending subjects and report feedback.

Qualifications:
  • At least 1 year of experience in an executive assistant role, personal assistant, or similar role.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Discretion and confidentiality essential.
  • Flexibility in both working hours and dealing with different situations.
  • Excellent computer skills.
  • Very time-efficient, self-motivated, and organized.
