Position Overview

The Rooms Coordination Specialist is responsible for mastering the fundamentals of Rooms Merchandising and applying Selective Selling Techniques to effectively match the right accommodations with the appropriate clientele at optimal rates.

Key Responsibilities

Ensure accurate entry of reservations into the system Manage group reservation processes Facilitate changes and cancellations of reservations Issue confirmations to clients Clarify no-show and cancellation policies to meeting planners Review daily group arrivals to verify reservation accuracy Input reservations within designated timeframes Respond promptly to all calls and emails Maintain control over group room allocations Collaborate with Convention Services department Possess knowledge of hotel amenities and events Promote a professional and efficient working atmosphere with open communication Complete daily operational checklists Review and process resumes prior to group arrivals Arrive on time with appropriate attire and a positive demeanor Utilize the Power of Engagement to enhance guest satisfaction Organize reservations and supporting documentation Manage correspondence and mail Process advance deposits Handle reservations from toll-free numbers Meet with meeting planners as required for pre and post consultations Perform additional duties as assigned

Required Qualifications

Familiarity with four-diamond / four-star service standards Previous experience in luxury hotel customer service or reservations is highly preferred Proficiency in Delphi, Opera ORS, and Opera PMS is strongly preferred Strong computer skills in Microsoft Office Suite, including Excel and Word Excellent communication skills, both verbal and written Detail-oriented with exceptional organizational abilities in a fast-paced environment Capacity to manage multiple tasks while overseeing numerous future groups. Availability for a standard workweek with flexibility for overtime or varied shifts as needed.
