The Administrative Assistant will provide critical support to the Homeless Work Program by handling various administrative tasks, including processing participant paperwork, data tracking, and scheduling. This role requires excellent organizational, communication, and technical skills to ensure seamless program operations.
Key Responsibilities- Process and manage participant paperwork, including HMIS and ROI documents.
- Update and generate daily trackers for HWP Specialists and Program Manager.
- Collect, organize, and enter resource referrals into the tracker.
- Scan and upload program packets into the database.
- Print and stock resources referrals, HMIS documents, and program surveys.
- Schedule and track VISPDATS.
- Provide resources and support to Tucson Pima Coordinated Entry callers.
To be successful in this role, you will need:
- A high school diploma or equivalent with two years of related administrative experience.
- Excellent verbal and written communication, administrative, organizational, and interpersonal skills.
- The ability to handle sensitive information with discretion and maintain confidentiality.
- Superior time management skills and the ability to multitask.
- Advanced Microsoft Office skills, including Word, Outlook, Excel, and PowerPoint.
- Technical skills with office equipment.
- American Sign Language or Spanish speaking/writing is a plus.
