About the Role

We are seeking an experienced Administrative Assistant to join our dynamic team at Presbyterian Villages of Michigan. As an Administrative Assistant, you will provide critical support to our operations, ensuring the smooth day-to-day functioning of our organization.

Key Responsibilities
  • Provide administrative support to our team, including reception, telephone communication, and mail distribution.
  • Attend and participate in meetings, taking minutes and preparing summaries as needed.
  • Collect and process resident documents, including certification and recertification paperwork.
  • Accumulate, maintain, and report data, statistics, and research.
  • Assist with rent collection and monthly certification process.
  • Compose, prepare, and respond to correspondence.
  • Direct and assist residents, families, business invitees, and staff.
  • Schedule and maintain appointments and calendars.
  • Create and maintain a filing system.
  • Respond to inquiries and provide information about the Village.
  • Schedule and conduct Village tours.
  • Establish and maintain resident records, including filing, revising, and updating records.
  • Assist with information gathering, including scheduling and conducting admission interviews.
  • Evaluate the need for and requisition supplies, equipment, and maintenance work orders.
  • Coordinate special events.
  • Create newsletters, flyers, and other documents using various software programs and desktop publishing.
  • Create a positive customer service atmosphere, promoting continuous quality improvement, teamwork, mutual respect, professionalism, and accountability.
  • Attend and participate in departmental and Village meetings, training, and development opportunities.
  • Embody and promote Presbyterian Villages of Michigan's mission, vision, beliefs, values, strategic goals, objectives, and Servant Leadership.
  • Follow established policies and procedures, including Presbyterian Village employment policies, departmental policies, safety policies, federal, state, and local regulations.
  • Perform any other duties and tasks as assigned or requested.
Requirements
  • High School Diploma or General Education Diploma (GED)
  • Ability to follow oral and written instructions, generally commensurate with some college-level education or equivalent experience.
  • Computer literate (word processing, spreadsheets, and desktop publishing)
  • Trained as a Certified Occupancy Specialist at HUD or MSHDA villages
  • Affordable housing property management software experience if working at a HUD or MSHDA-governed village
  • Math aptitude generally commensurate with some college-level education or equivalent experience
Preferred Qualifications
  • One to three years related professional business office experience or equivalent combination of educational experience
  • Experience working with one of the following subsidized programs: tax credit/MSHDA, low income, and HUD
