Position Summary:
Reporting directly to the Principal & Chief Development Officer, with additional support for the Chairman & President, the Senior Executive Administrator is responsible for providing comprehensive executive-level administrative assistance, scheduling support, and personal assistance as needed, while also collaborating with the Executive Administrative Support team.
The primary goal of this role is to ensure seamless operations within the Company and Executive functions.
This position requires interaction with a wide range of internal and external stakeholders on behalf of senior leadership.
Successful candidates will demonstrate professional judgment, tact, adaptability, punctuality, meticulous attention to detail, and the capacity to manage multiple tasks while prioritizing a complex workload.
The core responsibility is to guarantee that the highest standard of support and related services is consistently delivered.
Key Responsibilities:
Manage professional communications and corporate correspondence, including answering calls, taking messages, and drafting correspondence.
Schedule and coordinate activities such as meetings, conference calls, travel arrangements, and related logistics.
Prioritize, organize, prepare, and distribute internal and external documents, including memoranda, letters, reports, presentations, and confidential materials.
Efficiently manage a busy calendar for both personal and business commitments.
Plan and facilitate team meetings, including the preparation and distribution of meeting materials.
Organize and prioritize large volumes of information and communications.
Respond to recurring requests for information as appropriate.
Act as a liaison with various departments and external parties, including high-level executives such as the Chairperson, President, and Vice Presidents.
Perform personal tasks on behalf of Executives while maintaining the highest level of discretion and confidentiality.
Integrate business and personal activities, providing support for ad hoc personal requests.
Serve as a resource and advocate for sustainability initiatives within The Durst Organization, applying unique skills to integrate sustainability into processes and practices, and empowering colleagues and stakeholders to engage in environmental stewardship.
Qualifications:
High School Diploma or GED required; a College Degree or relevant office administration certification preferred.
4-10 years of experience supporting Senior Level Executives required.
Experience in the commercial real estate or real estate development sectors preferred.
Exceptional ability to prioritize tasks, meet deadlines, and manage workflow effectively.
Outstanding organizational skills for managing complex schedules in high-pressure environments.
Ability to interact effectively with diverse groups and build relationships.
Strong communication skills for effective teamwork and independent work as needed.
Excellent attention to detail and organizational capabilities.
Experience as a Personal Assistant is a plus.
Effective oral and written communication skills to convey purpose and maintain confidentiality.
Professional demeanor with a resourceful and proactive attitude.
Strong judgment and ability to handle confidential information with discretion.
Excellent time management skills to handle multiple assignments accurately and meet deadlines with minimal guidance.
Advanced proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint) is required.
Familiarity with Airtable Software or the ability to learn data management software is a plus.
Knowledge of Microsoft Project or the ability to learn scheduling software is also a plus.
