Job Summary:

The Payroll/HR Clerk is responsible for ensuring a seamless transition for new employees and a smooth exit process when employees leave the organization. This role involves managing documentation, coordinating with relevant departments, and maintaining accurate records to ensure compliance with company policies and legal requirements.

Key Responsibilities:Onboarding Process:
  • Prepare and manage new hire paperwork, including contracts, tax forms, and benefits enrollment.
  • Coordinate pre-employment background checks and set up employee files.
  • Conduct orientation sessions to introduce new hires to company policies, benefits, and processes.
  • Collaborate with IT, Facilities, and other departments to ensure proper setup of workstations, email accounts, and equipment for new hires.
  • Act as the main point of contact for new employees during the onboarding process.
Offboarding Process:
  • Facilitate the offboarding process by collecting company property and preparing termination documentation.
  • Coordinate with payroll to ensure accurate processing of final payments and any outstanding employee compensation.
  • Assist in deactivating employee accounts and access to company systems.
Recordkeeping & Compliance:
  • Maintain accurate and up-to-date employee records in accordance with company policies and legal standards.
  • Assist in filing reports and ensuring compliance with local, state, and federal employment laws.
  • Handle confidential and sensitive information in accordance with company policies and data privacy laws.
General HR/Payroll Support:
  • Assist managers and employees with time card adjustments and errors.
  • Provide support during audits and employee-related investigations.
  • Assist in organizing HR-related events, training, or meetings.
Required Skills and Qualifications:
  • High school diploma or GED; additional HR-related education or certification is a plus.
  • Proven experience in an administrative or HR support role, particularly in onboarding and offboarding.
  • Knowledge of employment laws, confidentiality protocols, and HR best practices.
  • Proficiency in Google Workspace or Microsoft Office, and HRIS software.
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with professionalism and integrity.
Preferred Qualifications:
  • Experience with ADP Workforce Now.
  • Previous experience in a similar role within a fast-paced environment.
Working Conditions:
