Role Summary:

The On-Call Receptionist/Scheduler is responsible for providing essential support to the dental and medical teams. This role involves managing patient interactions, scheduling appointments, and ensuring efficient clinic operations. Key responsibilities include:

Customer Interaction
  • Welcome patients and visitors warmly, ensuring a courteous atmosphere.
  • Handle incoming calls with empathy, assessing patient needs effectively.
  • Coordinate with providers to prioritize emergency cases and manage appointment scheduling.
  • Verify and update patient information during check-in processes.
  • Maintain effective communication regarding office policies and appointment confirmations.
  • Utilize a quick-fill list to optimize appointment slots.
Record Management
  • Ensure patient records are securely stored and comply with privacy regulations.
  • Assist in arranging referrals and obtaining necessary authorizations.
  • Monitor appointment cancellations and track attendance.
  • Manage office supply inventory and place orders as needed.
  • Participate in staff meetings and contribute to team discussions.
  • Perform additional tasks as assigned.
Key Responsibilities Include:
  • Greeting patients and managing the reception area.
  • Registering new patients and assisting with necessary documentation.
  • Maintaining accurate patient records and ensuring compliance with privacy standards.
  • Managing multiple incoming calls efficiently.
  • Coordinating referrals and managing lab work dispatch.
  • Assisting colleagues as required.
  • Sorting and distributing correspondence.
  • Maintaining a professional reception environment.
Administrative Duties:
  • Schedule patient appointments and manage reminders.
  • Support community education initiatives as time allows.
Qualifications:
  • Interpersonal Skills: Ability to engage with patients compassionately and professionally.
  • Education: High School Diploma or equivalent; basic computer skills required.
  • Certifications: First Aid and CPR certifications, valid driver's license.
  • Experience: Minimum one year in an office or scheduling environment; familiarity with medical terminology preferred.
  • Other: Strong time management skills and reliable attendance.
Physical Requirements:
  • Regularly required to use hands for tasks and communicate effectively.
  • Frequent walking, sitting, and standing are necessary.
  • Occasional lifting of up to 40 pounds may be required.
  • Vision requirements include the ability to see at various distances and adjust focus.
Travel Expectations:
  • Infrequent travel for training and professional development opportunities.
