Position Summary:

The Patient Service Representative plays a vital role in welcoming patients and assisting them through various channels, including face-to-face interactions, phone calls, and electronic communications. This position focuses on fulfilling patient needs related to appointment scheduling, updating essential information, and facilitating communication between patients and healthcare providers.

Key Responsibilities:
  • Welcomes patients upon arrival, confirms appointment details, and alerts nursing personnel in line with established protocols.
  • Assists new patients with registration and the completion of necessary documentation.
  • Confirms and updates existing patient records (demographic, financial, and clinical) within the electronic medical records (EMR) system.
  • Uploads completed forms, identification, and insurance documents into the patient file.
  • Coordinates future appointments based on the type of procedure, time constraints, and provider availability.
  • Handles incoming and outgoing phone communications, collecting information to direct calls appropriately. Follows triage protocols for all patient-related inquiries.
  • Initiates and processes patient referrals, as well as manages insurance authorizations and pre-certifications when required.
  • Processes payments, issues receipts, and balances the cash drawer on a daily basis.
  • Oversees patient movement from the waiting area to examination rooms, ensuring timely service and communicating any delays or issues.
  • Provides attentive support to anticipate and address the needs of patients and their families, maintaining composure in challenging situations.
  • Offers translation services for non-English speaking patients and their families, if bilingual.
  • Drafts correspondence for patients who miss appointments in accordance with company policy.
  • Receives and directs deliveries of medical and office supplies.
  • Performs general administrative tasks, including document preparation, scanning, mailing, and filing.
  • Maintains a professional appearance and ensures a clean, safe work environment.
  • Respects patient rights by upholding confidentiality standards.
  • Utilizes technology and specialized software to enhance productivity.
  • Develops and manages electronic files as needed.
  • Demonstrates excellent interpersonal skills, providing outstanding customer service and collaborating with colleagues across all levels of the organization.
  • Other duties as assigned.
Qualifications:

Experience:

A minimum of one (1) year in customer service or a medical office setting is preferred.

Education:

High school diploma or equivalent is required; an associate degree from an accredited institution is preferred.

Bilingual candidates (English/Spanish) are preferred but not mandatory. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) is essential.
