Role Summary:

As a vital member of the healthcare team, you will provide essential support to both dental and medical staff. Your responsibilities will include managing appointment schedules, addressing patient inquiries, ensuring efficient lab work dispatch, sorting incoming correspondence, and assisting providers with various tasks to maintain the clinic's operational flow.

Key Responsibilities:
  • Patient Interaction: Welcome patients and visitors warmly, manage incoming calls with empathy, and assess patient needs effectively.
  • Appointment Management: Notify providers of patient arrivals, schedule appointments based on electronic records, and prioritize emergency cases for timely treatment.
  • Patient Check-In: Follow office protocols for patient check-in, verify demographic and insurance details, and manage patient records.
  • Communication: Explain office policies to patients, confirm appointments, and maintain a quick-fill list for cancellations.
Records Management:
  • Ensure patient records are securely stored and handled in accordance with HIPAA regulations, prepare charts for upcoming appointments, and facilitate referrals.
  • Monitor appointment cancellations and track inventory for office supplies.
  • Participate in staff meetings and perform additional duties as required.
Essential Duties Include:
  • Greet patients and assist with registration.
  • Help patients complete necessary documentation and verify their information.
  • Manage multiple incoming calls and utilize a quick-call list for filling appointments.
  • Coordinate referrals and manage lab work dispatch.
  • Support colleagues as needed and maintain a professional reception area.
Administrative Duties:
  • Assist with scheduling and reminders for patient appointments.
  • Participate in community education initiatives as time allows.
Qualifications:
  • Interpersonal Skills: Ability to engage with patients in a professional and compassionate manner while maintaining confidentiality.
  • Education: High School Diploma or equivalent; basic computer skills required.
  • Certifications: First Aid and CPR certifications, along with a valid Washington State Driver's License.
  • Experience: At least one year in an office environment, familiarity with medical/dental terminology preferred.
  • Other: Strong time management skills and reliable attendance.
Physical Requirements:
  • Regular use of hands for tasks, ability to communicate effectively.
  • Frequent walking, sitting, and standing; occasional lifting of up to 40 pounds.
  • Vision capabilities include close and distance vision, color perception, and depth perception.
Travel Expectations:
