POSITION: Bilingual Operations Coordinator - 8:00 am - 4:00 pm (Monday to Friday)

REPORTS TO: Operations Manager & Chief Operating Officer

Incentive: Bonus available for new hires

KEY RESPONSIBILITIES:

Operational Duties

  • Oversee the inventory of essential supplies, including office materials and copier resources.
  • Act as the main contact for SchoolPass Dismissal Management and monitoring.
  • Coordinate the distribution of identification cards as necessary.
  • Assist the Operations Manager during fire drills.
  • Support facility management tasks as directed by the Operations Manager.
  • Help in disseminating emergency notifications to staff and families via various communication channels.

Attendance Management

  • Serve as the attendance administrator, ensuring accurate records in the attendance system.
  • Document late arrivals and early departures in accordance with attendance policies.
  • Send attendance notifications to families and collaborate with the attendance team to manage referrals as needed.

Communication and Outreach

  • Coordinate the monthly newsletter for families using digital platforms.
  • Create promotional materials for distribution.
  • Assist in updating information on the school’s website.

Enrollment Support

  • Facilitate the enrollment process for new and returning families, acting as a liaison to gather necessary student information.
  • Assist the operations team with projects related to residency and compliance documentation.
  • Support the planning and execution of recruitment and enrollment events.
  • Maintain student records in compliance with relevant regulations.

Front Desk Responsibilities

  • Provide support during student arrival and dismissal, welcoming families and visitors.
  • Assist at the front desk in the absence of staff, managing phone calls and visitor inquiries.
  • Address family concerns in alignment with the school’s mission and values.
  • Cover lunch breaks for administrative staff as needed.

QUALIFICATIONS:

  • Prior experience in an office setting, with proficiency in Microsoft Office and attendance systems.
  • Experience in creating digital content and newsletters.
  • Effective communication skills with a diverse audience.
  • Commitment to confidentiality and professionalism.
  • Ability to work collaboratively and independently.
  • Required: Bilingual proficiency in English and Spanish (both spoken and written).
  • Minimum of five years of relevant experience.
  • Education: Post-secondary education or relevant certifications.

SALARY & BENEFITS

Annual salary ranges from $40,000 to $45,000, determined by educational qualifications and experience. The successful candidate will be contracted on an annual basis, with opportunities for renewal based on performance evaluations. Benefits include health insurance, retirement plans, and wellness programs.
