As we continue to grow rapidly, we are in search of an Event Coordination Specialist to manage our diverse event requirements across various venues. Collaborating closely with our Event Sales Manager and Bookings Team, the Event Coordination Specialist will be vital to the successful execution of corporate and cultural gatherings. This role involves assisting with the planning and delivery of each event/meeting as per client requests during assigned shifts, while also ensuring outstanding customer service. The Event Coordination Specialist will handle incoming inquiries, organize bookings, communicate follow-up tasks to the team, and implement sales strategies to attract new clients. A solid understanding of Oakstop's services and the ability to promote our offerings to guests and clients during events is essential.

Work Schedule

  • This is a full-time, non-exempt role.
  • Flexibility is required, with potential weekend and evening hours.

Compensation Package

  • Hourly Rate: $23-$35 based on experience.

Key Responsibilities

  • Deliver exceptional customer service to both internal and external clients at all times, including through phone and email interactions.
  • Proactively engage with guests to address any inquiries or concerns.
  • Regularly check in with guests to ensure their comfort and satisfaction.
  • Enhance lead response times and improve retention rates through established protocols.
  • Facilitate smooth and efficient booking operations by utilizing email, text, and scheduling documentation to ensure clear communication and meticulous attention to event details.
  • Boost productivity and quality of Oakstop events by anticipating client needs.
  • Create memorable experiences that encourage clients to choose Oakstop for future events.

Preferred Qualifications

  • 1+ years of proven experience in event sales, coordination, or production management.
  • 1+ years of experience in managing and motivating teams.
  • In-depth knowledge of event production and management principles.
  • Familiarity with quality standards for various types of events.
  • Understanding of performance management and evaluation practices.
  • Proficient in audio/visual equipment, with troubleshooting skills.
  • Experience with Google Workspace, Asana, and familiarity with Tripleseat is advantageous.
  • Excellent written and verbal communication skills.
  • Strong organizational and leadership capabilities.
  • Exceptional critical thinking, attention to detail, and decision-making abilities.

Minimum Requirements

  • High School Diploma or equivalent; a bachelor's degree is preferred.
  • Ability to work a flexible schedule, including evenings and weekends.
  • Ability to leverage an existing personal or professional network related to Oakstop's offerings.
  • Friendly demeanor and comfort in interacting with diverse customers.
  • Experience in conflict resolution and the ability to manage client frustrations.
  • Strong communication skills in person, over the phone, and through formal emails.
  • Proficient with technology, including email, Google Docs, and scheduling platforms.
  • Familiarity with audio/visual equipment is preferred.
  • Physical ability to lift up to 50 pounds.
  • Willingness to travel between various locations.
  • Ability to work in diverse environments, including those with varying noise levels and lighting conditions.
