Position: Reception and Community Engagement Manager

Summary

The Reception and Community Engagement Manager is responsible for delivering exceptional customer service to both current and prospective members of Daftarnow Inc. This role serves as the first point of contact for individuals entering the premises, ensuring a welcoming and professional representation of the company brand at all times.

Key Responsibilities

Sales Support

  • Assist in scheduling and coordinating tours for potential members.
  • Send reminders for scheduled tours.
  • Welcome prospective members during their visits.
  • Collect information from walk-in visitors and integrate it into the scheduling system.

Performance Goals

  • Collaborate with the Community Sales Manager to understand and achieve occupancy, sales, marketing, and financial objectives.
  • Support the tracking and reporting of weekly, monthly, and quarterly performance metrics.
  • Contribute to meeting all established goals related to occupancy and sales.

Community Development

  • Engage in initiatives that foster connections among members, including organizing introductions and supporting events.
  • Facilitate a collaborative atmosphere through community events and personal networking.
  • Create promotional materials for events to ensure successful participation.
  • Oversee the logistics of events, including catering arrangements.
  • Distribute newsletters to keep members informed about upcoming activities.
  • Assist in providing quotes and pricing for events and meeting spaces.

Operational Duties

  • Manage member onboarding and offboarding processes.
  • Perform front desk operations, including answering phones and greeting members and guests.
  • Sort and distribute mail and packages promptly.
  • Maintain an organized tracking system for incoming and outgoing packages.
  • Ensure all member files and records are up to date.
  • Prepare and manage documentation for virtual members.
  • Coordinate office resets for departing members, including cleaning and maintenance.
  • Provide refreshments for visitors and members.
  • Address technical issues related to printing, internet, and phone services.
  • Conduct regular inspections of the facility to ensure cleanliness and safety.
  • Prepare conference rooms for use and manage bookings.
  • Maintain the cleanliness of shared spaces throughout the day.
  • Perform opening and closing duties as required.
  • Manage inventory of consumables and office supplies.

Customer Service Excellence

  • Deliver outstanding customer service to all members, ensuring timely acknowledgment and resolution of inquiries.
  • Respond promptly to member concerns, maintaining communication until issues are resolved.
  • Handle member issues with professionalism and empathy.

Billing and Collections

  • Assist in the billing process to ensure timely invoicing.
  • Support members with billing inquiries and discrepancies.
  • Collaborate with the Community Sales Manager on collections to ensure timely payments.

Ideal Candidate Profile

We are seeking a highly motivated individual with strong multitasking abilities and excellent communication skills. The ideal candidate will be adept at building and maintaining professional relationships and will approach member concerns with a positive and proactive attitude.
