Job Overview

Position Summary

The Reception and Community Engagement Manager is responsible for delivering exceptional service to all members and guests of Daftarnow Inc. This role involves creating a welcoming atmosphere and ensuring that every visitor has a positive first impression upon entering our shared office environment.

Key Responsibilities

Sales and Member Engagement

  • Facilitate the scheduling of tours for prospective members.
  • Send reminders for scheduled tours.
  • Welcome and assist prospective members during their tours.
  • Collect information from walk-in visitors and integrate it into our booking system.

Strategic Goals

  • Collaborate with the Community Sales Manager to align on occupancy and sales objectives.
  • Contribute to the reporting of achievements on a weekly, monthly, and quarterly basis.
  • Support efforts to meet occupancy and sales targets.

Community Building

  • Implement initiatives that foster connections among members, including introductions and event support.
  • Encourage collaboration through organized events and personal interactions.
  • Create promotional materials for events to ensure their success.
  • Oversee the setup and breakdown of events, including catering arrangements.
  • Prepare newsletters to keep members informed about upcoming activities.
  • Assist in providing proposals and pricing for events and meeting spaces.

Operational Duties

  • Manage member onboarding and offboarding processes.
  • Provide front desk services, including greeting and checking in members and guests.
  • Handle phone inquiries and provide a welcoming first impression.
  • Sort and distribute mail and packages promptly.
  • Maintain accurate records of member information and ensure timely notifications regarding packages.
  • Conduct regular walkthroughs of the facility to ensure cleanliness and safety.
  • Prepare conference rooms for use and confirm bookings.
  • Maintain cleanliness in communal areas throughout the day.
  • Assist with inventory management of office supplies and consumables.

Customer Service Excellence

  • Deliver friendly and effective customer service to all members, ensuring timely acknowledgment of inquiries.
  • Address member issues with professionalism and empathy, escalating as necessary.

Billing and Collections Support

  • Assist with the billing process and address any member inquiries related to charges.
  • Support the collections process to ensure timely payments.

Ideal Candidate Profile

We are seeking a highly motivated individual with strong communication skills and the ability to build lasting relationships with clients. The ideal candidate will possess:

  • Effective communication abilities.
  • Basic proficiency in computer applications, including MS Office.
  • Understanding of basic IT concepts.

  • Strong multitasking capabilities.

Qualifications

Education and experience in reception services, marketing, office management, or related fields are preferred. Candidates should be physically capable of performing the duties required, including standing for extended periods and lifting moderate weights.

Work Schedule

The standard work hours for this position are Monday through Friday, from 8:30 a.m. to 5:30 p.m.
